Looking for an excellent Legal Secretary/PA to work for two partners, two associates, two trainees. One partner’s practice focuses on non-contentious regulatory issues (banking and financial). The other partner’s practice focuses on UK & international disputes and investigatory

One partner is quite demanding and he is looking for a Legal Secretary who can go the extra mile, has excellent communication skills, proactive and be interested in the role.  He will need someone who can prompt him before a meeting, takes an interest in the work, is flexible, great attitude.  Happy to take on billing, will check billing guides and write offs.

We have an opportunity for a Legal Secretary/PA to join the secretarial team on a full-time basis.  The position encompasses a variety of tasks including fielding calls and taking messages, monitoring post, managing diaries (conference calls, meetings, reminders etc.), daily time entry, managing internal and off-site storage, hard copy and electronic filing, opening new client matters in accordance with SRA guidelines, assisting with billing narratives and WIPs reports, and creating, amending and proof-reading documents.
Assistance will also be needed with coordinating internal and external meetings, booking restaurants for client lunches and dinners, managing all travel arrangements for domestic and international trips, helping with pitch documents, possible venue research and bookings for client entertainment, and logging client activities on the business development portal.

Administrative tasks include organising taxis, couriers and catering, as well as completing expense reimbursements, corporate credit card statements and iPhone bills, keeping track of seminar/conference attendance, maintaining CPD records and immigration travel reports as necessary.  There may also be a requirement to manage Outlook mailfiles on behalf of individual lawyers.
Advanced working knowledge of Word, PowerPoint and Excel are essential.  In addition, knowledge of Interaction, Webview, Deskite and Decisiv or other similar packages are desirable.

The ideal candidate will:
• have a CILEx Secretarial Diploma or other equivalent qualification;
• have solid previous legal secretarial experience;
• be able to demonstrate a professional, flexible and proactive ‘can-do’ attitude;
• be a team-player and willing to support others when needed;
• demonstrate excellent communication skills with both staff and external clients;
• be able to manage expectations and use initiative;
• be organised, able to prioritise a busy work-load and work well under pressure to deadlines;
• have excellent attention to detail; and
• take ownership of tasks and be driven to deliver.
