Loans administration of a portfolio of assets including bilateral, syndication and sub-participated loans as well as trade finance transactions, ensuring the timely and accurate processing of credit business throughout the product lifecycle and coordinate with all appropriate departments as required (e.g. Credit management, Front Office, Operation, treasury, Risk & ALM, and Financial Control).

Assist with the Agency function where required.Credit Administration, including collateral and post-lending management.Regulatory, internal and Head Office reporting.

Main Responsibilities and Accountabilities:

  1. Ensure that all new facilities are established within a standardised control framework (principally Global Credit Management System or "GCMS") within a standardised control framework, including syndicated, bilateral and participated loans and trade finance, to enable accurate loan administration outcomes and post-lending management (e.g. Facility Tickets uploaded to GCMS, collateral / covenants / Conditions Precedent monitoring spreadsheet monitored and updated, asset quality categorisation on GCMS, files created, fax templates and monitoring spreadsheets established, fees and repayment schedules diarised etc.).

  2. Ensure that minimum requirements for drawdown sign-off are achieved prior to authorising disbursement (i.e. facility agreement and tickets are executed, credit approval is in place, Conditions Precedent are satisfied and utilisation requests are valid).

  3. On daily base monitor (including diarising), maintain and update the loan database e.g. rate fixing, principle, interest and fees payment, rollover renewal and so on by keeping good communication with the customers and agents in timely and accurate fashion.

  4. Ensure that loan E-permits are sent to Operational Department on time.

  5. Assist with archiving and housekeeping of facility documentation.

  6. Assist with GCMS customer merging - Credit Administration coordinates with both Credit Management Department and Front Office (i.e. Corporate Banking, Institutional Banking and Treasury), providing customer information download guidance.

  7. Monitor and escalate late payments in connection with the Relationship Managers, and assist in the resolution of late payments issues.

  8. Credit administration including post-lending management. Main duties include (but not restricted to) providing "second pair of eyes" for facility documentation prepared by Marketing Department; monitoring covenants / collateral / Conditions Precedent; asset quality categorisation on GCMS; large exposures groupings database maintenance etc.

  9. Assist with administrative duties within the Agency function.

  10. Perform periodic reconciliation of various inter-departmental systems for both on- balance sheet and off- balance sheet assets.

  11. Assist with large exposure (connected counterparty) groupings data quality, including updating of internal database based on credit proposals / annual reviews / credit modifications.

  12. Proactively suggest process improvements, highlight data quality issues etc.

  13. Other functions as may be required to assist the Supervisor/Deputy Head of Credit Administration from time-to-time.


Experience in the loan/credit administration function of a reputable bank/financial institution.

  • Conscientious approach with strong attention to detail.

  • Ability to work under minimal supervision.

  • Ability to deliver under strict monthly deadlines whilst maintaining accuracy and quality.

  • Effective workload prioritisation.

  • Good team-worker.

  • System skills: Microsoft Excel and Word to intermediate/ advanced level.

  • Good communication skills- both written and verbal.


  • Basic knowledge of credit risk principles and/or good commercial acumen.

  • Professional training or qualifications in a numerical / business-related discipline and/or in-house training on loan / credit administration.
