Commercial Litigation Legal Secretary

Looking for a Legal Secretary to join the Commercial Litigation Department.  The role of the Legal Secretary will be mix of PA and secretarial support to 1 Partner and 2 Fee Earners.  The Legal Secretary will be very involved in the Partners work and day to day, must keep on top of diary and travel as well as undertaking bundles and dictation as and when. Varied role and allows involvement with the busy Partner

Main Duties and Responsibilities of the Legal Secretary
This is not an exhaustive list and from time to time it may be necessary to vary these to meet the department and business needs.
o Diary management for Partner and fee earner(s).
o Audio and copy typing and document processing.
o Formatting documents and any other relevant documentation as directed.
o General administrative support for the department e.g. filing, photocopying.
o Receiving phone calls from clients; routing them or taking messages  and dealing with them as appropriate.
o Producing bills and dealing with invoices.
o Organising and maintaining tidy and accurate files both in hard copy and electronically.
o To provide cover and support to other secretaries within the firm as and when required. Flexibility is important as there can be considerable fluctuations in the amount of work produced by fee earners.

Person Specification
Attributes and Skills Required:
o Proven experience working as a Secretary within a busy commercial litigation team.
o A  high  attention  to  detail  to  produce  work  /  documentation  which  is consistently of a high accurate standard.
o A typing speed of +60wpm.
o Experienced in both audio and copy typing.
o Familiar with MS PowerPoint, Excel, Outlook and Internet applications.
o An advanced knowledge of Word applications such as auto  – formatting, numbering, bookmarks and track changes.
o Ability to co-ordinate large documents using Word.
o Excellent communication skills, both written and verbal.
o Ability to prioritise workload to increase efficiency for the team.
o Shows initiative and is self-motivated.
o Able  to  convey  clear  and  concise  information  to  clients  and  external organisations, which will not compromise the practice or the firm.
