1) Job Title: Receptionist / Junior Client Service Executive

2) Report to: Client Service Managers

JOB SUMMARY

3) Purpose of job -

Two elements to the job:

1) Receptionist: To be the front of house and the face of the company, help with general admin and answering the telephone.

2) Junior Client Service Executive: To support the Client Service Managers in the profitable operation and running of client accounts by helping them to manage day-to-day client relationships and provide a 'first point of contact’ for client enquiries/requests on specific projects. To manage associated budgets, draft and enforce delivery schedules and produce support documentation.

Account Executive role - you will be required to work on various client projects including tasks such as regional research on the Internet, database input and management, artwork trafficking, responsibility for meeting deadlines and organising studio and printers etc, some client liaison and online reporting.

KEY ATTRIBUTES THAT ARE A MUST: COMMON SENSE, LOGICAL THINKING, ORGANISATIONAL SKILLS AND EXCELLENT WITH EXCEL FOR CREATING AND UPDATING SPREADSHEETS.

JOB CONTENT

4) Key Tasks/Roles:

  1. Answering phones
  2. Answering the main line number
  3. Front of house - greet guests and clients and offer hospitality
  4. The office - take pride in the surroundings; make sure it looks good and make any required improvements
  5. Empty the dishwasher at the start of the day
  6. Keep recycling bins from over-flowing
  7. Post in and out of the building
  8. Keep records of the special and recorded deliveries
  9. Postage and consumables in stock
  10. Sorting mail & distributing to staff
  11. Monitoring and ordering stock - Stationery/Office stock, teas and coffee etc
  12. General admin duties for the smooth running of the office - Invoices at the end of the month, filing job bags, job numbers update, booking couriers and cabs and keeping a record of these (please put job numbers with courier bookings)
  13. Junior Client Service Executive role - you will be required to work on various Lenovo and IBM projects including substantial reporting and analysis for Lenovo, sourcing merchandise and incentive rewards, database inputting and management as well as management of the Lenovo incentive email inbox. The role will also require the successful applicant:

- To support the Client Service Director and Managers to ensure that live projects are delivered to the client’s satisfaction and on schedule

- To take responsibility for own projects, manage paper trail of client communications and briefs and play a support role in more complex deliveries

- To provide a 'second pair of eyes’ for proofing purposes and ensure own projects are counter-proofed by another member of the team before supply to client/printer

5) Other Duties

  • To answer phones when required
  • To support fellow company employees
  • To source quotes and samples from suppliers
  • To draft status/contact and progress reports as necessary and after every client meeting
  • To assist with photocopying, admin tasks, collation of printed materials and competition admin on request
