This is a fantastic opportunity for someone who is looking to gain a foothold and kick start their career within the receptionist role. You will be supporting and representing the company on a daily basis, you will also be the first point of contact for visitors and customer via the telephone.

Job Specific Functions

To answer the telephone within 3 rings, establish priority of the calls and to take clear and accurate messages ensuring they are notified to the appropriate person.To be familiar with and use all functions of the phone system.To greet visitors in a friendly and professional manner and to ensure that the person they are visiting is advised of their presence.Organise booking of 3 meeting rooms, utilising outlook calendar, ensuring that meetings do not clash /overlap.Attend meetings, take minutes, type and distribute and arrange lunches / beverages as required.Ensure meeting rooms are left in a neat and tidy state following meetings.Ensure the kitchen is kept neat/clean and tidy & dishwasher loaded & emptied daily.Ensure that front office is presentable at all times and secure when unattendedDistribute incoming post.Monitoring and ordering of stationery for the Southend and Leicester office.To organize filing as required, and ensuring that all files are correctly filed in filing room on a weekly basis.Data collection for the ISO system including: waste, printer cartridges, site staff risk assessment completion, photo copier & post clean report trackingAssist with ensuring the Company is legally compliant, including: Insurance, MOT’s, Road Tax, Recovery Service, maintenance, claims handling etc.Any typing required by the department/company.Ensuring house letter style is adhered too.Assist with the production of compliance reports when required, including keeping the ‘marking in’ file up to date.To update and utilize Prospect computer system when required.To update and utilize DCS system when required.Monitoring and processing of fax messages & PhotocopyingProvide support to the coordinating team when required.To act in accordance with the Company Code of Conduct (Ref: POL037) at all times when engaged on Company duties, in any capacity and at any location.To adhere to all company policies and procedures.Assist Key Account Manager in administration of new or ongoing contracts when requested, including setting up files, assisting with data collection, sending out communications etc
