Are you looking for an excellent opportunity to expand your business skills? This company is looking for someone who is well organised and highly motivated. The candidate needs to be dynamic, hardworking and passionate about providing admin support with good customer service.
My client is a trade body servicing their members. This role sits within their academy where they deliver lighting specific training. They have a number of services to offer their customers, from Technical info, Lab testing, Quality Assurance to name but a few.

1. Reception duties:

  • Meet and greet visitors
  • Answering calls
  • General reception duties

2. Preparing training rooms prior to courses:

  • Refill fridges
  • Coffee machines
  • Literature
  • Flip charts

3. Stock taking:

  • Refreshments for academy
  • Amenities for academy

4. Purchasing equipment

5. Post

  • Receiving daily post, recording it and distributing it appropriately
  • Preparing outgoing mail for evening collection

6. Preparing course material for trainers & delegates

7. Inputting delegates onto electronic signing in register prior to course

8. Ordering food for training courses or events held by the academy

  • Raising purchase order
  • Preparing lunch for delegates
  • Clearing away after finished i.e. Loading unloading dishwasher

9. Certificates – sending to delegates where appropriate

10. Managing when joining instructions need to be sent to delegates and then sending

11. Creating & Managing Certificate course test papers/projects

  • Logging when papers / projects are sent out
  • Logging when papers / projects are due in
  • Sending chasing letters if anything becomes overdue
  • Managing where each delegates is up to with the course
  • Returning projects via courier

12. Liaising with trainer on behalf of the delegates

13. Checking if payment has been received when required / Calling customer if payment hasn’t been received prior to course

14. Supporting trainer on day of course

15. Enrolling delegates on to courses via website

16. Enrolling delegates on to Maths revision

Desired skills

  • Should be methodical, with attention to detail
  • Must be able to look outside the box to see what needs to be done rather than waiting to be told what to do
  • Proactive and aware that we have a number of customers attending training and their needs should be dealt with quickly and in a professional manner

Personal qualities
  • Personable and outgoing
  • Able to talk to customers on the phone and make sales type calls
  • Must be proactive and flexible in carrying out duties

Qualifications required
  • GCSE Maths and English grade C or above as a minimum (or the equivalent)

Future prospects

  • The business has a strong reward ethic and given the significant growth rate, there is always a possibility that exceptional graduates would be offered a permanent position.

Training to be provided

  • Business Admin Level 2

Working week

  • Shift Patterns- 8:30am-4:30pm or 9am – 5pm
  • Total hours per week: 37.50
