We are looking for a Paralegal to work within our clients Residential Property department, taking ownership of all post-completion matters and providing administration support to fee earners and the Department Head.

Key Responsibilities

To take ownership of fee earners’ files from the point of exchange until they reach completion, dealing with the all post-exchange matters to include:

  • Sending out all the appropriate exchange letters
  • Drafting completion statements
  • Carrying out priority and bankruptcy searches
  • Ordering mortgage money
  • Ordering redemption figures
  • Ensuring clients sign any relevant documentation ie, Transfers and Mortgage Deeds
  • Completing the matters and looking after the client, liaising with them when necessary and keeping them updated on progress, up to the completion day
  • Serving relevant notices on Leasehold matters
  • Completing and submitting SDLT returns
  • Preparing and submitting Land Registry applications
  • Scheduling to Lenders
  • Closing files
  • Post completion queries
  • Dealing with account queries – ledger reconciliation and taking appropriate action
  • Dealing with retentions
  • Provide administration support to the department, including but not limited to telephone call management and the production of standard documents using the Firm’s case management system, and to provide such support in a professional and friendly manner in keeping with the firm’s client care standards
  • Generally assist the Department Head with any administration work required
  • To complete transactions in a timely and accurate manner
  • To undertake logical and orderly file management of electronic documents and correspondence
  • To provide secretarial support for other secretaries in the Department and the Firm, as required
  • To adhere to company standards, policies and procedures at all times
  • To contribute positively to departmental and firm-wide activities
  • To undertake relevant training as required

  • Key Requirements

  • 5 GCSEs at A-C grade (or equivalent), including English
  • At least 2 year’s experience of working in a similar role dealing with post exchange and post completion as a paralegal within a busy Residential Property department
  • Ability to audio and copy type
  • Must be organised, methodical and accurate
  • Ability to work under pressure and to deadlines
  • Ability to work without close supervision
  • Ability to work effectively as part of a team
  • Good communication skills both verbally and in writing
  • IT literate including good working knowledge of Microsoft Office Applications
  • Ability to think ahead and use initiative
  • Ability to communicate courteously in a clear and concise manner with both clients and colleagues
  • A polite, friendly and confident telephone manner
  • Excellent time management skills
  • Conscientious and common sense approach to work
  • High levels of accuracy and good attention to detail
