Our client an Edinburgh based Public Sector organisation is seeking an experienced Executive Officer to provide a full and effective executive support to their Director of Finance. Candidates must demonstrate experience of providing high level administrative support to Senior Finance Management. The successful candidate must also be in receipt of a current basic Disclosure Scotland or be willing to apply for one. DUTIES - Review, prioritise and deal appropriately with all correspondence on behalf of the Director of Finance; forwarding to other members of the Finance Team or the board's Executive Team for action or information where appropriate. - Proactive management of work ensuring follow up action is taken, and the Director of Finance is briefed as appropriate, including an effective brought forward and follow up system for all correspondence and actions. - Provide business support to the DoF and Finance Senior Managers. This will include the drafting of reports, correspondence, spreadsheets, conference programmes materials and PowerPoint presentations. The ability to Identifying suitable dates, venues, equipment, issue agenda/papers, produce and disseminate formal minutes'/action notes, and follow up on actions from meeting is also required. Gather information and prepare briefings for DoF either acting on own initiative, or as requested by the DoF - Responsible for managing a high volume of day-to-day appointments for the Director of Finance to ensure the most efficient use of time. This will involve negotiating often challenging/conflicting commitments, prioritising requests and making judgements within broad guidelines set by the DoF. Organise travel and accommodation as required. - Communicating complex, confidential and sensitive information with a range of staff across the organisation and with external stakeholders. - Collaboratively working with other Executive Officers, sharing information and expertise, to provide relief cross cover for the Chair, Chief Executive and their Direct Reports as required, ensuring continuity of support. Acting as a central point of contact for the Directorate. KEY SKILLS & EXPERIENCE - Educated to degree level or equivalent. - Demonstrable experience of providing high level administrative support to Senior Finance Management. - Advanced level of IT skills, including extensive experience of using Microsoft Office Packages. - Proven administrative skills, including diary management; dealing with correspondence; arranging travel, preparation of meeting papers - Effective minute taking skills - Demonstrate a high degree of verbal and written communication skills. - Ability to organise and prioritise workload to meet strict deadlines. - Awareness of Data Protection legislation and appreciation of the need for discretion and confidentiality in the workplace SALARY Competitive For further information and/or to apply for this position please forward an up to date copy of your CV to Damian Anderson TODAY!
