Legal Secretary – Intellectual property and technology law (IPT) - we are looking for an exceptional senior legal secretary who has now arrived at the point in their career where there is no more room for growth, promises made haven't been delivered and now is the right time to move to a better company.


  • Undertakes work of a confidential nature, or requiring high level skills and expertise.
  • Undertakes specialist tasks (e.g. preparation of draft legal documents, attending to court filing, organising service of legal documents, expert and witness arrangements and appointments, conducting research at fee earner request).
  • Specialist expertise (i.e. super-user, e-billing, client reporting, KM support).
  • Effective use of practice management system (Elite)
  • Matter opening and maintenance
  • Accurate and timely entry of data to open and maintain clients and matters, including performing conflict searches. Adherence to firm matter opening policy and procedures.
  • Billing- Accurately produce billing reports and draft bills in a timely manner. Work with fee earners to ensure bills are accurate and meet needs of clients. Release and post all final bills. Organise billing letters where necessary.
  • Enter and process all invoices and reimbursements for payment and cheques in a timely manner. Send accounts payable paperwork to Finance for payment. Process other relevant disbursements.
  • For those authors that require it: record all time accurately and promptly (including non-billable productive time) on a daily basis.

File Management

•Filing of relevant paperwork including correspondence, email print outs, research material and financial receipts on a daily basis.

• Working with authors to organise files in a practical and easy-to -use manner.

•Maintaining up to date client records in Elite, front of file matter contact sheets and Outlook/Interaction contacts, including client contact details, client specific requests in relation to billing and bill formats, details of other parties etc.

•Printing any emails that require filing on appropriate files in a timely manner (client files/internal office files).

Diary Management

•Make appointments for fee earners as requested, ensuring all relevant needs are met (eg room booking, catering, etc.).

Document Production

•When necessary draft, create and edit documentation, in line with the Style Guide, templates and precedents.

•Have a strong working knowledge of WorkSite and Bighand.

Answering Phones

•Answer telephones and handle all calls in a professional manner.

•Arrange conference calls when needed.

•Screen unwanted telephone calls or visitors as requested.
