PA to Group Finance Director
To create clear and creative presentations using information and data given or gathered independently.
To compose own correspondence as required.
Initiating routine correspondence and assisting with the work of the Group Finance Director.
Arranging meetings and maintaining diary records for the Group Finance Director and in addition, on behalf of the Directors/ Deputy Finance Directors, when required.
Maintaining a high standard of filing and archiving systems and records, including computer database systems, where appropriate.
Dealing with enquiries, telephone calls and representing the Association.
Arranging meetings and conferences for the Group Finance Director, Deputy Finance Directors, Board Members and other managers as required, both internally and externally.

General administration
Verifying and coding of the Group Finance Director's corporate credit card expenses and invoices.
Collating the "out of pocket" personal expenses for the Group Finance Director.
To assist the Company Secretary with duties as required.
To book hotels and travel arrangements for the Group Finance Director, other Directors, Board Members and staff, as required.
To carry out individual administrative tasks and projects as assigned.
To collate sickness forms for Human Resources at the end of each month for Finance staff.
To complete monthly training and seminar forms for the Finance Director, Deputy Finance Directors and self.
To complete the Gifts and Hospitality Register for the Finance Director, Deputy Finance Directors and self.
To liaise with the Money Laundering Officer on any fraud activities and to maintain a register on behalf of the organisation and liaise with the Finance Director for reporting to the Group Audit and Risk Committee.
Co-ordinate the Directorate briefings and team meetings as required.
To produce the Financial Report for external publication in partnership with the PR & Communications team.

Health and Safety
Complete quarterly Health and Safety Risk Assessments on behalf of the Group Finance Director.
Co-ordinate and manage the completion of the Finance half yearly Health and Safety Report for the directorate.
To work and liaise with other PAs and co-ordinate with them on tasks and functions, including cover for other PAs.
Assist the External Auditors and Internal Auditors when required.

Experience as a Personal Assistant/Secretary demonstrated by:
· Provision of administrative support to a senior manager
· Maintaining clear and systematic filing systems
· Maintaining a senior manager's diary
· Organising and servicing meetings
· Producing documents as and when required.
· Excellent IT skills, especially MS Office (Word, Excel, Outlook and PowerPoint)

Experience of providing committees with administrative support demonstrated by:
· Arranging committee meetings
· Producing agendas, taking and producing drafted minutes
· Minimum typing speed of 60wpm and copy/audio typing experience
· A good standard of written English and the ability to draft letters and reports
