Job Description An opportunity has arisen for a Payroll Administrator Apprentice to prepare a monthly payroll of circa 1000 employees in a fast paced and changing environment. The successful candidate will be required to undertake the end-to-end process and prepare the payroll for review/sign off by Approvers, Payroll Manager. The role is placed primarily at our Borehamwood office, with flexibility to work in our London office (Travel costs will be covered) on non-critical processing dates. Duties/ Responsibilities - Effectively manage emails and Payroll Inbox - Maintain payroll calendar, ensuring deadlines are met on time, every time - Collate data from approved data submitters, ensuring it is duly authorised - Prepare starters, leavers, changes, and absence from Workday, checking accuracy against trackers, before submitting to our payroll provider - Prepare variable data for submission to payroll provider via spreadsheets - Prepare Benefit data for submission to our payroll provider (Sharesave, Season Ticket Loans, Pension, Childcare Voucher, GAYE, Gym, PMI and Cycle to Work) - Manage Jury Payments, Long Term Sickness, Maternity/Adoption/Paternity - Calculate leaver's holiday balances - Manage HMRC notifications - Manage process for shares, in an accurate and timely manner - Prepare maternity schedules and issue to new maternity employees - Review output reports from payroll provider, ensuring all instructions have been correctly interpreted and processed 100% accurately - Carry out auto-enrolment duties at final stage of payroll using Thomson's Darwin system - Provide evidenced confirmation to Payroll Manager that all payroll checks have been completed to enable sign off of the payroll - Prepare detailed approval/variance reports for review by Payroll Approvers and Payroll Manager - Prepare documentation for Sign off by the Reward Director in accordance with the payroll calendar - Prepare monthly KPI's and manage the continuous improvement process alongside the HR Business Partner's - Record overpayments and review with HR Business Partner's before passing to third party provider for recovery - Manage overpayment recovery process with third party provider - Manage underpayments effectively and make off cycle payments where required, ensuring these are accounted for correctly - Manage GL outputs - Ensure third party payments are made to providers accurately and on time - Ensure that Just Eat is compliant with employment law and tax legislation - Manage the year end process with the payroll provider and reconcile HMRC payments - Oversee the P11D process and prepare for sign off with Payroll Manager and Reward Director - Maintain various trackers to support continuous improvement - Ensure all payroll queries are dealt with in accordance to KPI's, escalating concerns to Payroll Manager - Undertake reconciliations and analysis of payroll and reward data - Maintain the Payroll Procedures Manual to ensure it remains up to date - Safeguard payroll procedures, maintain compliance and ensure that internal controls are adhered to at all times - Process and reconcile annual pay review and bonus data - Assist with payroll audits as required - Actively participate in team meetings and training exercises - Remain updated in payroll legislation and self-develop through our Talent Development library Desired Qualities - Strong Microsoft Excel skills - Has an interest in finance/HR and is keen to pursue a career in payroll - Learns quickly and is eager to learn new skills - A team player with ability to take initiative and lead by example - Excellent interpersonal skills - treats people with respect; is approachable, open and direct; develops effective working relationships with staff at all levels - High level of attention to detail with good analytical and numeracy skills - Good decision making skills - Flexible approach to work, responsibilities and deadlines - Strong focus in customer service essential - Resilient - Diplomatic, discreet and confidential Desired qualification Must have a minimum of 2 A-levels or Level 3 qualification Other information Salary - £20,000 per annum Important Information "QA's apprenticeship programmes may be funded in part by the European Union through the European Social Fund, which supports the development of employment opportunities and a skilled workforce."
