A charity are looking for an experienced Project Manager (Systems) to ensure that the charity's core systems enable it to deliver on its changing priorities and long-term strategy. The initial priority will be to review the current core systems used for service delivery, finance, research, customer relationship management and internal communications. You will use this knowledge to build a picture of current system requirements. You will then work alongside external consultants to review the current marketplace and manage the implementation of any resulting changes to the charity's systems architecture. You will also be responsible for the day to day management, development and reporting from current service delivery systems. This will involve troubleshooting issues as they arise, reporting core data, gathering feedback from users and ensuring that staff are trained to use the systems effectively. You will also ensure that we are compliant with data protection requirements and that data security and integrity is maintainedThis is a 2 year fixed term contract. Key Responsibilities: -Work with colleagues to establish the strengths and limitations of existing software and systems and each team's current and future data requirements. -Build and maintain a working knowledge of the systems architecture, including how and where data is captured and used. -Develop a comprehensive and accurate brief for use in selecting an appropriate external agency to identify the most effective core system/s to use. -Work closely alongside the agency identified to project manage the review ensuring that work remains on track and completed to a high standard -Coordinate internal working groups to identify needs and issues and manage effective user testing -Manage the implementation and staff training of any systems changes resulting from the review -Act as the system 'administrator' for service delivery systems including our grant making database (Gifts). Ensure that the system design meets user needs and own relationships with external technical support agencies -Put in place a process for the continuous improvement of existing systems. -Work alongside the I.T. Manager and support desk to ensure effective integration of grant making systems with the wider I.T. infrastructure -Ensure that information stored on these systems is secure and compliant with audit and data protection requirements -Ensure that they avoid duplication of data entry and can be used to effectively to manage workload. -Identify staff training needs then directly and pro-actively support staff (particularly those based remotely) to enable them to use existing systems to their full potential. -Use data reporting from core systems to identify trends in our service delivery and support strategic decision making. -Collate KPI information for the Board of Trustees; ensure that data is robust and effectively presented Skills and Experience required: -Experience of managing transformational projects from inception to implementation --Experience of leading project and/or user groups to implement change -Experience of implementing new digital systems or tools which improve work flow and data integration -Knowledge of the voluntary and community sector -Knowledge of systems and tools used to support service delivery and data driven decision making -Knowledge of a range of project management approaches and techniques -Knowledge of data protection legislation and its implications -Experience of presenting proposals to senior managers and/or Trustees -Experience of accurately collating data relating to key performance priorities and presenting in an accessible format -Experience of selecting and managing external consultants and service providers -Ideally a relevant project management qualification -Knowledge of Gifts or other grant making software (Desirable)
