This is an excellent opportunity to join a leading Faculty of Medicine, within a leading University in London. This is a senior role and you will be providing an executive assistant support to the Head of Department, and to support and manage the Dean/Director’s office, and to provide support to the Vice-Dean (International) other support for initiatives that the Dean/Directors office champion, including internal training events.

You will have previous experience in Higher Education or the Healthcare sector and are comfortable with managing preparations for committee meetings, taking minutes, circulating agendas etc. The post-holder must be able to work autonomously, using their own initiative, and will be responsible for general office organisation. They will be required to assess systems, make recommendations and decisions, and both initiate projects and project manage as the need arises. The post-holder will be the first point of contact for the Faculty.

Responsible for the day to day operations of the Dean/Director’s Office.Work independently with little guidance or supervision, making autonomous decisions regarding own work, timelines, procedures, resources etc.Processing of all correspondence and other paperwork received, and handling as much of it as possible on behalf of the Head of Department.Develop, in discussion with the HOD, the annual budget for Dean/Director’s Office, monitoring income and expenditure and processing invoices and payments in a timely fashion - developing and updating system of work as necessary.Liaise with members of the Faculty on behalf of or in the absence of the HOD and develop effective relationships with these contactsAct as secretariat to Institute committees and working groups or search committees as necessary, including the Operations Committee (previous committee management / minute taking skills are desirable).Coordinate the Faculty’s response to requests for information from the College, gathering data and other information as necessary.Arrange commemorative events such as leaving celebrations or building openings for senior members of staff.Produce a variety of documents including letters, reports and committee papers.Co-ordinate and review all secretariat office systems such as the electronic diary and an efficient filing system.Provide administrative support to personal research which may include collection and analysis of data and drafting reports.Maintain electronic diaries. Organise all aspects of meetings and appointments including room booking, refreshments, greeting visitors and producing itineraries as necessary.Organise travel arrangementsProvide project support for senior managers, as necessary.Produce presentation material, including expert use of Word, Excel and PowerPoint.REQUIREMENTS:

Experience of diary management - including organising meetings across and range diariesExperience of working in Higher Education, in a Supportive roleDegree level educationExcellent spoken and written English, with excellent communications skillsIT Literate and able to multi-task
