Accounting and Office Coordinator

Job purpose

The Accounting and Office Coordinator is responsible for administrative oversight for our London office which includes 25+ individuals. This role will be responsible for important financial and operational processes. This position requires a dynamic individual that can work independently yet thrives in a team environment. Flexibility with attention to detail are important characteristics. This role will also work closely with Accounting and Administrative staff in the US.

Duties and responsibilities

Daily operations of the accounting department include:

  • month and end-year process
  • accounts payable/receivable
  • cash receipts
  • general ledger
  • payroll and benefits
  • budgeting
  • revenue and expenditure variance analysis
  • produce financial reports or statements
  • other accounting tasks as needed
Daily operations of the office coordination include:

  • schedule meetings and appointments
  • organize the office layout and order stationery and equipment
  • maintain the office condition and arrange necessary repairs
  • organize office operations and procedures
  • coordinate with IT department on all office equipment
  • manage contract and price negotiations with office vendors, service providers and office lease
  • manage office G&A budget, ensure accurate and timely reporting
  • provide general support to visitors
  • assist in the onboarding process for new hires
  • address employees queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
  • liaise with facility management vendors, including cleaning, catering and security services
  • assist with researching travel options and bookings
  • assist in preparation of expense reports
  • plan in-house or off-site activities, like celebrations and conferences
Other department support duties (HR/Sales & Marketing)

  • assist in screening resumes for standard job positions
  • assist with documentation of employee contracts
  • help organize the recruiting and interview process
  • act as point of contact for interview candidates
  • assist with research for compliance items
  • help organizing and coordinating company marketing events and trade shows
  • maintaining promotional materials and product brochures
  • help with compiling and formatting of sales presentations and RFPs
Requirements

  • Proven working experience as Accounting/Office Coordinator
  • Advanced computer skills on MS Office, accounting software and databases
  • Ability to manipulate large amounts of data, multi-task and prioritize work
  • Proven knowledge of bookkeeping and accounting principles, practices, standards, laws and regulations
  • High attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Creative with an ability to suggest and implement improvements
  • Ability to work with all types of people
