An exciting opportunity has arisen to join a reputable law firm in Ipswich. Our client is seeking a Legal Administrator to join their team, the role would be suited to a candidate who has experience as a senior administrator/secretary ideally within the legal sector. The Role: - Work as part of the secretarial team to provide professional, proactive, high level administration/secretarial support to an allocated group of fee earners and to the wider fee earning team - Proactively manage diaries of allocated fee earners in Microsoft Outlook to include making appointments, arranging meetings/conferences, sending and responding to invites and booking necessary venues. - Assist with department projects, by way of ensuring client packs and organised, relevant resources are in place and to provide assistance to the marketing and events team in organising the client care. - Occasionally process expense claims, payment requisition forms, returned advances. - Accurately maintain and update client and other relevant contact details on the firm`s database. - Process all forms including new client form, new matter form, money laundering form, training course booking forms etc. - Assist in maintaining compliant and accurate file management and office systems, develop, and maintain a good level of understanding of firm policy and process. - Prepare narratives and bills and keep billing files up to date. - Carry out photocopying and scanning as required - To be expert in a variety of software packages such as Microsoft Word, Excel and PowerPoint to produce correspondence and documents, spreadsheets and presentations and ensure relevant documentation is produced to a high standard to meet Clients` and Fee Earners` expectations and deadlines. - Proof read all work, checking for spelling and grammar - Manage marketing data created by the fee earners and liaise with the marketing department. - Co-ordinate and deliver various ad-hoc projects as directed The Person: - Proven administration experience. - Good/Advanced knowledge of Excel & PowerPoint. - Either previous secretarial experience (ideally gained within the legal sector) and/or a creative individual with the qualifications and experience or potential to excel in the role. - Secretarial qualification or educated to GCSE or O level standard or equivalent. - Excellent computer/technical skills in particular working knowledge of Microsoft Office suite of software including Outlook, Excel, Word and PowerPoint. - Typing speed of at least 45 wpm. - Excellent spelling and punctuation. - Strong written and oral communication skills. Ability to communicate with colleagues at all levels of seniority and liaise effectively with other internal departments and external contacts. - Ability to use discretion. - Positive and enthusiastic approach to team work. - Good telephone manner. - A flexible, highly motivated, proactive and can do` working style. - Self-motivated, ability to use initiative and provide pro-active support to fee-earners. - Ability to pay attention to detail and check own work. - Good organisational skills, able to prioritise, make decisions and work effectively within a sometimes pressurised environment. - Commitment to ongoing learning and development.
