Abingdon Preparatory School is seeking to appoint a dedicated and enthusiastic School Secretary. Job Title: School Secretary Location: Frilford, Oxfordshire Salary: Competitive + Benefits Working as part of an administrative team in the main school office, the School Secretary is very much the front face of the school for parents, boys, staff and visitors. High levels of organisation, computer literacy and excellent interpersonal skills are essential, together with a cheerful disposition for this busy and varied role which is at the very heart of our school community. School Secretary - Key Responsibilities: - To act as a first port of call for parental and other visitor enquiries - To answer telephone calls to the School Office in a timely and efficient manner - To distribute post and deliveries - To order and maintain supplies for photocopiers, arrange servicing and take meter readings - To assist with distribution of school reports - To disseminate information to parents via e-mail or database using mail merge - To ensure the parent noticeboard is up-to-date - To regularly update information on internal plasma screens - Responsibility for managing school cameras and uploading appropriate photographs for the online photographic gallery and the photographic folder at the prep school - To act as qualified First Aider and support the School Nurse - Assistance in management of electronic registration - Dealing with late pupils - Telephoning parents of pupils unaccountably absent - To work with the Deputy Head to compile pupil lists for Other Half and After School activities - To administer the school transport service by compiling pupil lists, liaising with minibus drivers and advising Accounts Department of changes to termly bills - Undertake appropriate professional development, where approved by the school, to enhance and develop the role of School Secretary - Adhere to School policies and be aware of wider school issues all times The hours of work are 9.30am to 6.00pm on a term time plus basis (34 weeks during term time plus 5 weeks during school holidays). School Secretary - You: - A current Paediatric First Aid qualification or a willingness to undertake training to qualify (3-4 day course) - Excellent interpersonal skills together with a warm and friendly personality - The ability to show empathy and understanding - Professional and calm when dealing with staff and visitors - A high standard of personal presentation - A 'can do' attitude and the ability to prioritise and to do so independently - Excellent communication skills (both verbal and written) with excellent keyboard and word processing skills - High level of IT literacy including familiarisation with databases (including mail merging) with high levels of accuracy and attention to detail - Ability to operate in an environment of confidentiality and discretion - A 'self-starter' with the ability to work with minimal supervision and using own initiative - Excellent organisational skills with the ability to prioritise own workload - The ability to work under pressure, with some flexibility of hours during particularly busy periods, including an occasional Saturday morning - Enjoy working with children and have due regard for their welfare and well-being - Display commitment to the protection and safeguarding of children and young people, value and respect the views and needs of children and young people - Previous experience of working within a busy office environment is essential - Experience of working with children, particularly in a school environment, would be beneficial Further details are available in the job pack.
