Job description Currently looking for a passionate and ambitious individual for a Resourcing Coordinator Apprentice position. The primary responsibilities of this role is to assist the Head of Resource Manager in the administration of all resource related request from Civica's customers and internal Delivery Team. This position requires that the individual be liaison across the entire delivery team, working directly with the Head of Resource Management, Programme Management, DevOps, WebOps, Service Management to facilitate appropriate staffing from the business and contract community. The Resourcing Coordinator will be responsible for meeting each associate on a regular basis and building a relationship to fully understand their capabilities and experience, acting as a point of contact including initial contact for conflict resolution and development tracking of all resource working on site with a Civica's customer. Responsibilities - Supporting the administration and tracking of Statements of Work, Purchase Orders and Terms and Conditions on internal CRM system to ensure status and values are accurate - Input into new bid requirements within the sales team via co-ordination of profiles and review of appropriate resources to ensure documents are high quality, relevant profiles are delivered to the sales team in a timely manner - Track and record all utilization activity for the in-house and contractor delivery team, comparing forecasted and actual reports and providing records of historic activity to the Heads of Resource & Programme and Management and Delivery Director - Daily liaison with teams located on customer sites to track attendance; client feedback; issues & manage accurate time-sheet compilation and submission - Recommend process improvements within the Resourcing Team - Introduce a detailed governance process for the appointment of newly identified project resource to ensure senior management team commercial awareness - Monitor day to day project activities and resourcing, identifying potential instances of underutilization and actively work with Delivery department to address and solve those issues - Receive, analyse and report on weekly utilization reports for the Delivery Director - Recommend process improvements for resource management - Responsible for managing timesheet system and overall delivery utilization - Work to resolve any issues regarding under or over allocations of current staff members Qualities/ essential requirements - Excellent organizational, administrative and interpersonal skills - Strong written and verbal communication skills - Ability to contribute to, support and work with remote teams - Previous experience of working in a recruitment or resource role - Able to deal confidently and effectively with other staff, including those more senior - Ability to listen and empathies with a range of project staff and stakeholders - Able to multi-task and service multiple interrupts in an organized, methodical way - Able to see the context of the role in the business and priorities tasks accordingly - Ability to maintain internal relationships to achieve the best from internal staff - Ability to listen and empathies with a range of project staff and stakeholders - Commercially aware - Ability to work under pressure - Self-motivated and assertive - A broad understanding of software and IT in general - Client facing Desired Qualification - Minimum 3 GCSE (including English & Math) Other Important information Working days/hours - Monday-Friday, 35 hours per week
