The purpose of the role is to oversee the administration of courses delivered by TRS Training, including apprenticeships and commercial short courses and to manage the administration team.

The manager will be responsible for administering and ensuring funding compliance of all parts of our learners’ and apprentices’ programmes, including managing applications, inputting and maintaining learners’ records on MAYTAS, booking exams, claiming achievements, invoicing for commercial courses. In addition, the manager will be responsible for overseeing learner and employer satisfaction monitoring and the safeguarding of learners. They will also to ensure that all team members are fully trained on the accurate completion of learner documentation and will take an active role in the training and development of new starters within the department.

Duties

  • Manage the work and performance of the administration team, including undertaking appraisals and providing training as appropriate.
  • Manage the applications, enrolments, progress and achievement of apprentices in line with funding body criteria using the MAYTAS system.
  • Monitor and process the return of reviews and attendance records for all learners, and follow up non-compliance occurrences.
  • Manage the registration of learners and claiming of completed qualifications through awarding organisations and the ACE systems
  • Prepare monthly returns to funding partners and action responses to their audit findings in a timely manner.
  • Implement and maintain internal and external quality assurance systems, carrying out regular audits to monitor compliance.
  • Be responsible for the security and management of data, ensuring compliance with ICO, GDPR, AO and organisational expectations.
  • Manage learner and employer satisfaction surveys and provide analysis of responses
  • Ensure information relating to awarding organisation and funding body updates are communicated effectively to TRS Training Ltd staff
  • Provide input into the organisational SAR process and support quality improvement initiatives.
  • Provide performance data reports in relation to funding spend, audit compliance, assessor utilisation, success rates and satisfaction levels on a monthly basis
  • Ensure the safeguarding of learners
  • Support recruitment and marketing activities as required.
  • Ensure invoices are raised accurately and timely for courses, and accurate payments are made to lecturers and awarding organisations.
  • Support the whole training organisation in company wide activities such as matrix, OFSTED, safeguarding and PREVENT duty.

Participate in staff development activities in consultation with Line Manager and identify own training needs
Contribute to group and team discussions on staff development

Special Considerations:

Must be prepared to work at any of the company’s centres and travel between centres when necessary
Must be prepared to work "off-site" if appropriate to the business.
