Job Title: Accounts Administrator
Location: Canary Wharf
Salary: £32,000 per annum
This role will provide a thorough and efficient administrative support service to the Portfolio Director and the Finance portfolio.
You’ll support the Contract Management for the Finance Sector producing contract performance reports, and possible holiday cover for the site administrator. You will be responsible for the smooth running of the administration and financial functions.
Main Responsibilities/Duties Include:
• Holding monthly financial meetings with all the Account Managers on a one to one basis
• Review all their Projects
• Ensuring that all Planned Revenue & Planned Cost figures are up to date
• Sales are generated in line with forecasts
• Costs are controlled based on forecasts
• Reducing accrued sale figures by invoicing and deferrals by goods receipting
• Contract Management for the Finance Sector of the Private sector:-
• Raising new PPM contracts for the Finance Sector
• Renewing PPM contracts and ensuring all costs for Subcontractors are accounted for in the CDF1.
• Sending out reminders for contracts that need renewing
• Intimating Management Accounts of any accruals that need to be made for contracts that need to be renewed and are still pending renewal
• Raising PPM invoices for all the contracts on a monthly basis, scanning over to relevant managers for submission
• Raising Credit Notes
• Raising Manual invoices
• Raising journals from various administrators
• Advising contract administrators on resolving various issues relating to their contracts
• Holding financial training for new administrators to understand SAP
• Vising sites to deal with invoicing as required
• Having financial 1-to-1 with Contract managers when requested and dealing with their P&Ls
• Opening and closing Internal Orders on request
• Running various financial reports on request
• Overseeing all administrative duties on a day to day basis providing support to the Portfolio Management when required
• Responsible for invoicing/management of finances (including Profit & Loss Management): - responsibility of month end reconciliations including preparing and submitting various invoices (Excel) with all appropriate backup, regular meetings with the client, overseeing all purchase orders raised and vendor invoice approval
• Collate all staff monthly timesheets to enter salaries and absences on to the monthly payroll spread sheet
• Attend and issue minutes of monthly/quarterly management and/or client meetings (also responsible for arranging meeting rooms/facilities)
• Assisting with collating monthly Report ensuring accurate data pertaining to the portfolio performance
• Giving Support and training to Site Administrators staff in the portfolio
• Collate Portfolio SHEQ information
Qualifications
• Good working knowledge of Microsoft Office including Word, Excel (int-adv), PowerPoint , Planon, SAP and Basware
• Substantial building services and/or facilities management experience
• Experience of working within an administrative role at senior level
