Personal Assistant - Real Estate - Central Southampton - Immediate start

Tate Southampton are recruiting on behalf of a fantastic company based in central Southampton. The successful candidate will be an intelligent and reliable individual with a professional manner, key responsibilities are listed below.

KEY RESPONSIBILITIES:

· To be aware of the fee earners priorities which should be dealt with during the day and ensure that they are completed as far as possible.

· Maintain the fee earner's files; keeping filing up-to-date at all times in accordance with the firms file management policies.

· Being able to anticipate what the fee earner requires.

· Monitor and deal with the fee earners post and deliver to the fee earners via the team leader.

· Adhere to quarterly file reviews - a Lexcel requirement.

· To undertake and monitor Lexcel compliance as directed by the relevant Partner/Director/Fee Earner.

· Update legal books with the new legislation.

· Have good communication skills within the rest of the support staff team, work well together.

· Carry out searches on Land Registry Portal and TM Property Searches.

· Collectively with the other members of the team, provide the full range of secretarial and support services to the team.

· Ensure the work prepared by the fee earners is typed accurately. Upon return, check the work, preparing any necessary enclosures, and processing the work in accordance with the fee earners instructions.

· To build relationships with clients and other members of staff to aid communication.

· Check fee earners voice-mail messages and inbox regularly in their absence.

· Open files and attend to the completion of client and matter opening forms.

· Open files for fee earners to work on.

· General maintenance of printers, i.e. fault reporting, dealing with maintenance.

· Keep reception fully informed of all expected visitors, including details of names, time of arrival and expected duration of visit. Book meeting rooms as required and arrange refreshments as appropriate.

· Ensure through liaison with the fee-earner, the team leader and the credit controller that the necessary billing guides are presented at the appointed time and that the bills are typed correctly and submitted to the accounts department.

· Monitor all deeds and original documents that are received and retained by the fee earners and, through liaison with the matter fee earner any by checking the file, identifying those that can/should be sent to other parties (client, mortgagee etc) or for central storage. Ensure that those deeds and original documents are dealt with as appropriate and that action taken is recorded on the file, and where appropriate, on deeds storage records.

· Provide support to the fee earners in their marketing activities and where required client meetings.

· Book travel arrangements and accommodation for the fee earners as required.

· Support, promote and build relationships with colleagues.

· Promote our core values - clients, people, teamwork and ownership.

SKILLS AND COMPETENCE:

· Good standard of general education, specifically, English language and maths.

· High standard of knowledge of computer packages, Word, Excel, PowerPoint, Outlook and any legal software.

· Good standard of general keyboard skills, RSA 2/3, Audio and copy typing.

· Previous legal experience would be desirable, but not essential.

· Professional and credible, with the ability to act with tact and discretion and to maintain confidentiality are essential.

· Excellent time management and customer service skills.

· Creative approach to problem solving, overcoming challenges, despite hurdles and resolve challenges consistent with the companies values and ways of working.

· Have a desire to go above and beyond expectations using your own initiative.

· The role holder will need to be able to work on their own initiative as well as part of the team.

· Smart, professional and credible, with the ability to act with tact and discretion and to maintain flexibility regarding working hours is essential to deal with non-routine requirements.
