Media Experienced/Background Office Administrator/PA

One Year Fixed Term Contract initially, London

Responsible to: Facilities team

Working as a key member of this friendly yet incredibly fast paced and dynamic VFX studio, you will be expected to help with the smooth and efficient running of the office, as well as some PA duties for two well-reputed, but down-to-earth directors.

This position would be ideal for someone with a media background or at least 2 years administration experience who is looking for a new challenge at a company where they can really grow and develop.

PA Duties for the Directors

  • Diary management including the prioritising and scheduling of meetings

  • Organising travel arrangements, restaurants & cabs.

  • Providing assistance in relation to expenses, personal purchases and errands.

Office and Reception Duties

  • First point of contact for answering the door and phones, welcoming clients and dealing with all deliveries.

  • Handle dispatches - running drives to other facilities and updating internal database & paperwork.

  • Maintain the office & kitchens, including tidiness, cleanliness and setting up screening rooms.

  • Taking initiative to manage stocks and supplies, arranging orders where necessary; ensuring refreshments, stationery, general office equipment and facilities are well presented.

  • Manage office personal expenses & petty cash, and submit to the accountant each month

  • Help with desk moves, setting up new starters and wrapping up leavers

  • Support Head of Ops with company purchasing and asset management.

  • Organise company social events.

  • Assist the HR Manager with admin including: recruitment, lateness, sickness, and holidays.

  • Keep website & social media up to date and be proactively researching news, building the company brand & followers

  • Maintain a library of promo images & showreels with the VFX Editor

Person specification:

  • Responsible, mature, friendly & confident

  • Pro-active and able to hit the ground running

  • A team player, hard working and warm, who is not precious about what doing what needs to be done since this list is not exhaustive! A sense of humour essential

  • Strong written English and verbal communication skills

  • Excellent time-management and organisational skills, with efficient multitasking and prioritisation

  • Good skills and knowledge of Microsoft & Google Publications including Gmail, Docs, Excel, Word and Powerpoint.

  • A keen interest or passion for film and television.

  • Experience of a small office environment

  • A Level or Degree educated - desirable
