2 days monthly travel (some movement)
1- Tuesday in Banbury (expenses paid)
1- Saturday in Woburn (expenses paid)


SALARY £17,500 TO £19,000

• To provide full accounts for TWO companies (both of which are auction houses) within the Group using the SAGE accounting and payroll systems.
• Provide accurate accounting records up to management accounts and complete End of Year reports and reconciliations
• Manage purchase ledger
• Manage interface between auction system and Sage accounts
• Prepare and submit all VAT and PAYE documents/schedules and make payments
• Manage the auto enrolment process, prepare pension submissions and make payments using NEST
• Prepare monthly salary information, pay salaries, submit RTI and complete P11D and end of year tax obligations
• Monitor company cash flow and liaise with manager

To complete and produce monthly accounting records for both companies including:-
• Input, pay and file all creditors invoices
• Input and file all debtors invoices and input payments received
• Account correctly for monies due to the company and due to the vendors after each auction
• Make timely payments to all Vendors from monthly auctions either by bacs or cheque
• Complete monthly bank reconciliations for client and office accounts
• Reconcile client account to ensure all monies due are analysed individually and accounted for
• Ensure all DD payments have an appropriate invoice
• Accurately account for annual costs that are paid monthly
• Liaise with Woburn and Banbury auction houses to ensure all information is accurately recorded and to resolve problems and timing differences
• Input end of year adjustments provided by accountant
• Complete end of year shutdown
• Reconcile auction reports to accounts system
• Produce Trial Balance - monthly
• Produce Balance Sheet -monthly
• Produce Management Accounts to include accruals and prepayments
• Ad hoc reports as required either from Sage or using excel spreadsheets
Quarterly VAT returns
• Prepare quarterly VAT submissions, make online submission and payment in accordance with HMRC deadlines
• Keep accurate records of all transactions
Manage monthly payroll/pension process;
• Ensure salary information is received on time and authorised where necessary, pay salaries on time, including holiday pay, SSP and any other relevant deductions
• Ensure salaries paid on time, including holiday pay, statutory payments and any other relevant deductions
• Keep accurate records of PAYE and salary information
• Calculate zero hours holiday entitlement
• Process new employees and leavers accurately
• Process RTI submissions and make PAYE/NI payments in accordance with HMRC deadlines, including annual payments of Class 1A NIC.
• Submit pension schedules and make payments on time to NEST, and to keep accurate records for the scheme, in accordance with Pension Regulator rules
• Expenses and mileage submitted by employees on a monthly basis using the correct forms should be recorded and paid promptly
• Petty cash should be recorded and balanced on a monthly basis
• Ensure all relevant updates to Sage are completed
• Monitor supplier contracts that are due to expire i.e. utility companies, and pass to the Accounts Manager to enable the correct renewal to be made
• End of financial year documents and all paper work are to be neatly boxed, labelled and stored in the archives room
• Answer supplier and office queries, and take messages for other staff

The accounts office is based in Bedford but the Auction Houses are located in Woburn and Banbury and visits will need to be made to both sites, with a minimum of two days per month worked at both auctions

• Successful candidate must have;
• An AAT qualification
• Proven experience using Sage to Trial balance, including the calculation of accruals and prepayments
• Proven experience using Sage payroll software
• Experience of auto enrolment and use of NEST is an advantage, but not essential
• Experience of auction accounts is an advantage, but not essential
• Ability to reconcile balance sheet accounts and resolve problems
• Experience of spreadsheets using excel
• Polite and friendly telephone manner
• Flexible approach to their work and other staff, and a desire to understand how an auction house operates, and the pressure it faces
• Positive attitude to learning auction software
• A full current driving license and a vehicle
