Job Title: Production Admin & Business Process Manager

Reporting Lines: This post reports to the Operations Manager

Direct reports to this role are Systems Administrators

Salary: 28-32K

Background, Key Objectives:

* Accountable for Health & Safety within your area of responsibility
* Responsible for the day to day administration of production systems ensuring reports are produced accurately and timely
* Assist the Production and Systems Admin team in the building of re-bust information management systems
* Scrutinise the information ensuring variances are recorded and investigated
* Ensure that continuous improvement is achieved by following PDCA
* To control use of the system and information gathering by setting standard operating procedures

Leadership & Coaching:

* Control and manage your team to be able to influence other members of the organisation so as to drive improvements
* Influence members of the production team to ensure accurate completion of data and continuous improvement
* Ensure new team members understand and are trained to relevant company procedures and standard operating procedures
* Help to build SOP'S to ensure the system is used in a consistent manner
* Promote a good team ethic
* Carry out reviews and implement action/development plans for team members
* Maintain discipline in a fair and consistent manner
* Coach, train and develop the team in order to achieve KPI targets, ensure a succession plan and a continuous improvement culture

Manufacturing Excellence:

* Ensure all works are issued in a timely manner and jobs are closed accurately and timely
* Ensure all personal and team compliance with standard operating procedures
* Understand and use KPI's to further improve performance
* Liaise with other supervisors (inter and surrounding departments) and all other key skill staff to ensure factory is operating at optimum efficiency
* Ensure GMP standards are met with improvement plans in place
* Influence improvements in all areas of systems Admin and Production
* Be responsible for chasing and querying any raw material issues (stock & packaging) with the relevant people and department. To make sure the Production Planner and Operations Manager is aware of any issues as they arise
* Ensure that the product is packed using the correct materials according to customer specifications
* Maintaining the 'In touch' system
* Ensure material wastage is recorded accurately and that any issues that arise are actioned and communicated effectively

Planning:

* Ensure work orders are raised in a timely manner to keep production flowing
* Ensure works orders and closed efficiently and accurately to aid stock control
* To accurately plan the daily workload for your team throughout the season
* Participate in the weekly planning meeting
* Report in the daily operations meeting

Communication:

* Ensure the Operations Manager is aware of any production issues at all times
* Liaise inter departments reference production position at all times
* Inform and Liaise with Operation Manager and QA any raw material/finished product issues
* Ensure all team members are aware of production requirements
* Effectively communicate both verbally and written, through all levels and all departments and to make sure that issues and information is efficiently past onto the relevant people in real time
* Record meeting minutes and ensure they are distributed

Technical Excellence:

* Produce SOP's process flows and training documents. Ensure they are regularly reviewed and document controlled
* Use visual aids to improve communication in the factory
* Ensure personal and team compliance with all company policies and procedures
* Assist in new product development trials when required
* Carry out appropriate actions following QA checks in accordance with relevant procedures and standard operating procedures
* Undertake and utilise all appropriate training
* Use feedback from customers and internal checks to improve product standards
* Have a full understanding of the customers and their individual requirements

Competencies and Criteria:

* Experience of managing MRP systems, such as Nav, Preactor, SAP etc.
* Highly numerate and a clear logical thinker
* Possess GCSE GCE or Equivalent to include Mathematics and English
* An understanding of lean Manufacturing
* Previous first line management experience within FMCG
* Proven experience in people management/training
