Personal Assistant – Wealth Management

We are currently recruiting for a Personal Assistant to the Business Owner (Financial Adviser) for a Partner Practice of St. James’s Place Wealth Management based in Moorgate, London (EC2R).

Role purpose

Working as part of a small team, the role will provide support to the Partner, in a mix of Personal Assistant, Client Services, and Administration support work.

The role will be an integral part of the Practice, and therefore we are looking for someone who is seeking long-term commitment to a PA / Administrator role, who is pro-active and comfortable working independently on occasions, with the potential for growth into an Executive Assistant role within the next 12-18 months.

The successful candidate, will have previous experience in a Personal / Executive Assistant capacity, preferably within the financial services industry. They will be very highly organised and structured in their work, with a high level of accuracy and attention to detail.

Role content:

PA / Client Servicing

* First point of client contact on telephone.
* Email management – dealing with all non-technical queries independently, and forwarding on technical queries as appropriate
* Diary management and appointment making .
* Full diary management – including client meetings, travel, appointments etc
* Meeting and greeting clients
* Preparing basic client meeting pack and additional documentation
* Task management – daily updates with Business owner on operational tasks to be completed.
* Event management for personalised client events or stakeholder events.
* Proactive client servicing management; issuing Weekly Market updates, subscribing to E-Briefing, Birthday cards, personal preferences, review dates etc.
* Ordering personalised gifts to clients where required.
* Keeping clients updated on significant stages of their investment, liaising closely with Business Administrator and Paraplanner.
* Dealing with ID procedures for clients


* Dealing with non-technical enquiries, liaising with Administration Centres, where appropriate.
* Inputting actions required into task management system and allocating to team members. Monitoring workflow of tasks.
* Keeping WIP up to date and managing/monitoring work in progress. Chairing weekly work in progress meetings.
* Working closely with outsourced Paraplanner to move progress of reports along in line with service standards.
* Assistance with management of PROMS.
* Produce business figures for Partner
* Collection and opening of post/scanning, as appropriate. Taking post to admin office.
* Stationery ordering

Personal Attributes

* Well-presented and professional, both face to face and verbally.
* At least 1 years prior PA experience of working with demanding Executives with a busy work schedule (preferably financial services).
* Excellent customer service skills
* Excellent written and verbal communicator.
* Excellent attention to detail.
* Proactive and able to work on own initiative.
* Enjoys working in a fast-paced environment with a flexible approach to their workload.
* Works calmly under pressure and is able to assess complex and pressurised situations logically.
* Ability to be able to adapt to last-minute changes. Enjoys working as part of a small team.
* Willing to commit long-term.
* Good knowledge of all Office products, Word, Excel, PowerPoint, Outlook. * Prior use of a task management system would be helpful, but not essential.

Additional Information

* Location: Moorgate London, EC2R
* Hours of work: Full time, Monday to Friday
* Salary: £27 – 32K per annum
