Key Purpose of Role;

Assist the Buying Team with all administrative tasks, processing purchase and sales orders, liaising with other departments to verify orders, contacting vendors and evaluating bids offered by suppliers. Assisting with various purchasing procedures, inventories, accounts, proposals and similar preparations. Liaising with other departments to ensure that excellent customer service is delivered at all times.

Key Duties and Responsibilities;

  • Provide support to the team in all areas of the buying department.

  • Administration of order management and managing department systems. Raising purchase orders accurately and action all price/ delivery amendments as nominated by the buying team within the allotted time frame.

  • Daily contact with stores, suppliers and warehouse to maintain sales performance, delivery procedures and resolving any barcode queries promptly.

  • Chasing and updating critical path for nominated categories ensuring on time delivery of order to warehouse & effectively communicate any changes to the buying and merchandising team.

  • Work closely with the warehouse, supplier and accounts team on all queries.

  • Sample management for web shoots, look books and press days.

  • Sample management for fitting, gold seal and pre-production samples.

  • Preparation for seasonal buyer presentations.

  • Pulling best & worst sellers as directed by the Buyers.

  • Each Monday updating the weekly intake rack ready for director’s trade meeting.

  • Work alongside existing BAA’s and offer support where necessary.

  • Any other administrative tasks as delegated by the team.

  • Chasing production samples, and highlighting any issues to the Buyer. Checking quality against approved pre-production samples, labelling and all details relevant to production samples are correct.

  • Undertaking general administration duties to include opening of post, filing, taking messages etc.

Relationship Management:

  • Build and maintain professional working relationships with colleagues, superiors and external partners.

  • Effectively communicate with Store and Head Office departments, complying with internal processes.
