This is a fantastic opportunity to join an exisiting in-house Building Services Team within a new state of the art building.

You will be reporting into the Head of Engineering and will be involved in the coordination of project works. 


Oversight of all project activities.
Assisting to assign duties and assisting the team so that required tasked are completed in an orderly and timely manner.
Supporting Operational Managers in their service delivery through knowledge of the service contract and deliverables, attending meetings and report writing/reviewing
Manage the Project register, working with the Head of Engineering to ensure information is up to date for monthly team reports
Monitoring/tracking Building Services deliverables and ensuring all actions are completed.
Arranging and managing internal stakeholder meetings and steering groups
Track & manage contemplated change notices and change orders in the system
Updating of policies, procedures and relevant documentation as required for Building Services
Procurement and cost reporting activities that support the Building Services team.

Specific tasks include

Assist in tracking project progress against plans for building services
Track and maintain all risks and issues associated with building services activities
Responsible for the consolidation of all project reporting into an overall project report and present highlighting risks, issues and progress.
Supporting Operational teams, either through specific work packages or end to end project delivery
Attend and manage minutes of key building services management meetings
Monthly Engineering forum, other technical engineering meetings.
Support the tracking and management Building Services change control notices and Impact assessments
Supporting drawing and documentation platforms, ensuring that licences are in place and teams provide the correct documentation for inclusion or updating existing information.
System such as;
Autodesk Vault, for Drawing and Documentation management
SharePoint, for building services general documentation management
Edocs, for Operation and Maintenance Manual management
Mirashare, Change Control

Supporting the cost reporting and tracking for Building services, assisting with procurement activities, quotation, purchasing orders and invoicing
Overview of the screening process for Building Services
Ensuring that Managers are submitting requests in line with guidance and providing feedback

Significant post graduate experience supporting Project Managers and Operational teams
Knowledge of building development, construction, contract and facility management
Ability to be adaptable, versatile with administrative and facilitation skills to keep the projects focused on their objectives
Proven ability to work effectively both independently and in a team based environment
Able to effectively manage own workload and support the Head of Engineering Projects, and wider Building Services & team leads
Good team-player who can provide on-going support to a busy project team
Excellent multi-tasking skills, with the ability to manage expectations, communicate
progress and raise questions where appropriate.
Effective communication skills including verbal, written and presentation skills
Strong multi-tasking and organizational skills
Well organised with strong time management
Ability to act independently to help others and solve problems.
Proficient in MS Project and the MS Office Suite of products


Degree or Diploma in relevant subject related to Engineering or Facility Management
Relevant project experience in a research environment
Project management training, for example; APM (PQM) or Prince 2
Familiarity with construction methods and the building regulations/codes
