Project Manger for Leading London University - 40k - Waterloo - Need to be immediately available

Your new company:

The Project Manager role will be the lead for ensuring that the Faculty is fully prepared and ready to adopt these new enterprise systems and their associated working practices, by coordinating and guiding the efforts of colleagues across the Faculty and the systems project teams to ensure effective local implementation. In particular, the role will act as the Faculty's Single Point of Contact (SPoC) for the systems project teams during the preparation stages, in collaboration with the wider network of Project Managers, working on this activity. The post holder will need to become familiar with, and confident in communicating, the background, reasons for the new systems and processes, their scope, their timelines and the anticipated benefits to the user community and the wider university.

What you'll need to succeed:

Stakeholder analysis:

  • Identify the system user community for each system and others who undertake related activities which may be affected by system/process changes.
  • Identify 'Super Users' - users that (either due to their work activities or to assist the overall plan) are nominated to accept front line responsibility for assisting others with the system/process adoption, and therefore require a greater depth of knowledge and training.

Systems & process analysis:

  • Identify and detail all Faculty-wide local legacy systems, their associated processes and supporting documentation to the relevant business systems project team.
  • Undertake a Faculty-wide process mapping exercise for all business systems-related activities to identify processes for streamlining and rationalisation and draft a plan for how those processes could be improved.
  • Ensure that decommissioning of local legacy systems and associated processes occurs in accordance with an agreed plan between the Faculty and the business systems projects teams to ensure continuity of service.

Risk management & action planning:

  • Identify and monitor risks and potential barriers to the faculty's readiness and business continuity and where appropriate liaise with the relevant Faculty business continuity management lead.
  • Work with the project teams to devise remedial actions where necessary to ensure the Faculty is fully prepared and ready within the agreed timelines.

Communications and engagement:

  • Lead the readiness preparation of the Faculty with drive, positive energy and a collaborative attitude, and to act as an agent for change.
  • Communicate within the Faculty - using different channels as appropriate to engage a wide range of colleagues - about the background, systems, processes and benefits of these changes, using relevant language and local examples to create engagement and readiness to adopt.
  • Manage communications with and attendance at any training sessions for users and Super Users.
  • Advise Faculty leadership and project teams on progress and issues relating to the readiness of the Faculty.
  • Collaborate with other project managers to share experience, tactics, plans and resources via the Transformation Network.



Degree level qualification or relevant experience

Excellent IT skills and good understanding of databases Outstanding interpersonal and communication skills (oral and written) with a proven ability to work collaboratively towards the achievement of common goals whilst developing sustainable relationships with stakeholders at all levels Ability to work on own initiative and little supervision
