Job Title: Contracts Manager

Reports to: Senior Contracts Manager

General purpose of role:

The Contracts Manager’s primary duty is to assume responsibility for all aspects of project delivery post contract award.

General areas of responsibility are project planning, client and subcontractor liaison, management of internal team members, financial management, cost reporting, change management, profitability, managing quality, Health and Safety, chairing and recording meetings, administration of the contract conditions and client requirements, formal documented handovers, management of snagging and defects completing with agreement and settlement of the final account, with clients and our supply chain.

The Contracts Manager will be required to manage multiple contracts with the assistance of site based Site Managers, TSM’s and Financial Managers where applicable.

Key Accountabilities:

• Manage delivery of the project to the detailed Contract Information Pack.
• Attend internal project ‘handover’ meeting with Sales, Pre Contracts and Design team.
• Ensure compliance at all times with appropriate H&S requirements.
• Produce a detailed construction programme. Monitor progress to ensure timely completion.
• Ensure that liaison with Building Control and any other statutory authorities has been carried out as required by the design team and specialist suppliers.
• Arrange pre-start coordination meetings with sub-contractors prior to starting works on site, and chair weekly sub-contractor meetings. Continue to oversee and manage all sub-contractors throughout the project.
• Ensure that at all times construction activities are being managed safely. This includes:
• The Pre Construction Information Pack has been issued by Pre Contracts
• Produce and issue a satisfactory Project Safety Document prior to commencement on site, and implement SWMP and Environmental Policies.
• Ensure asbestos register and the HSE F10 are available prior to commencement on site
• Arrange independent site safety audits and take action as and where necessary.
• Carryout all procurement with Sub Contractors prior to work commencing on site.
• Maximise profit though re-measurement of the works, sub-contractor negotiations and value engineering.
• Ensure that correct contractual documentation is in place and is signed off by client, prior to commencement on site.
• Monitor quality performance throughout the duration of the project ensuring highest quality is maintained at all stages of construction.
• Attend weekly site/client meetings maintain a good client relationship at all times
• Confirm costs for additional works requested by clients and record any programme implication.
• Record any delays during the contract, and report them to the Contacts Director and Client.
• Ensure that invoicing is up to date and carry out valuations as per the contract documents, monitor and obtain payment of money by due date.
• Sign off sub-contractor invoices for works completed, Finalise and agree their account prior to completion of project.
• Maintain up to date financial records using the agreed company Financial Reporting system.
• Ensure that O&M Manuals are compiled and issued in time for Handover.
• Arrange and chair formal Practical Completion meeting with client, following Area Sq documented procedure and obtain signed P.C certificate.
• Oversee snagging Quality Control prior to completion of the project. Issue a formal defects list prior P.C confirming any outstanding snagging, and separately list any late client instruction that will be carried out post contract.
• Ensure Zero Defects at the client handover event.
• Organise rectification of notified defects during the defects period, Obtain Completion of Defects Certificate and collect retention monies at end of defects period.
• Complete and agree the final account with client or client reprehensive prior to handover, collecting all outstanding monies as they become due.
• Supervise and assist the site based Project Manager as required ensuring that an accurate record of site activity is recorded.

• Ability to manage Project Managers, TPM’s and QS’s.
