Reporting to: Executive Assistant

Location: Chiswick, West London

Start date: ASAP

Duration: 6 months with the possibility of going permanent

Salary: £12 an hour

Hours: Monday - Friday / 9am - 5pm

RECRUITMENT BRIEF - SALES & MARKETING ADMINISTRATOR

The ideal candidate will be technically competent but also adaptable and adept at working cross-functionally. The successful candidate will be someone who can settle quickly into a busy environment and build relationships.

This company is a small organisation and experience working in this kind of environment, or an understanding of it, is desirable. The role is 5 days per week and based in their Chiswick office.

REQUIRED QUALIFICATIONS AND EXPERIENCE

Essential

* Experience in an administrative role
* Experience in a small company environment

Desirable

* Experience in an administrative role within a sales/marketing department
* Experience in a pharmaceutical or allied company
* Experience of working with external agencies/providers

Technical Skills and Behaviours

* IT literate - experience with the Microsoft suite
* Excellent interpersonal, communication and time-management skills
* Ability to multi-task and work under pressure
* Ability to use own initiative, make necessary decisions and be accountable for actions
* Attention to detail
* High degree of literacy and numeracy
* Ability to work unsupervised and as a team member

RESPONSIBILITIES AND TASKS

* Note - reporting line is to the Executive Assistant for the department who will manage workload and assign tasks in the first instance.

* General administrative support for the sales, marketing and market access teams.

Key tasks to include:

* Raising purchase orders and reconciling invoices
* Completing service agreements and confidentiality agreements
* Travel bookings
* Formatting of documents/presentations
* Maintain and monitor team absence records
* Support induction of new employees (collating pre-reading folders, business cards etc)
* Booking couriers
* Visitor support including meeting and greeting guests, arranging parking
* Photocopying/filing

* Support the materials approval process. To include uploading/monitoring materials through review cycle and highlighting items requiring re-approval

* Assist in the coordination of meeting logistics through diary coordination, room bookings, catering, setting up teleconferences/webex and print out of materials

* Working with marketing team monitor and maintain stock levels of promotional materials. Including reordering and recalls

* Additional administrative support across the organization as agreed by Executive Assistant
