Brief Outline:

PA to the Commercial Director & Head of Legal & HR - Main Contracting - £33k - Middlesex. A unique opportunity for an experienced PA, ideally working for an established construction company with experience of supporting board level directors to join a £50m turnover Main Contractor based in North West London. The successful candidate will work within a fast paced environment and will play a key role in supporting the board level directors in driving the already successful business with a fantastic client base to the next level.

About the Client:

My client specialise in designing, producing and installing exceptional luxury interiors for retail, commercial and residential properties. They have close to 25 years' experience of installing bespoke interiors for the retail outlets of luxury brands, companies and high-net-worth individuals. Thanks to the outstanding results they have achieved for their clients, they have built a business on personal recommendation - if you live in London, you've almost certainly seen their work in high-end retail stores. My client manage over 100 dedicated staff as well as their own in-house joinery operation. This gives them the versatility to provide a complete service of exceptional quality, including multi-media installations, specialist shop fitting and major refurbishment works. They work across a wide range of sites, including retail outlets, hotel and leisure facilities, luxury private homes and commercial office spaces.

About the Role:

* Provide secretarial and administrative support for the Commercial Director and also secretarial and administrative support to the Head of Legal & HR
* Provide administrative support to the Asset Property Management team. This will include dealing with tenancy deposit schemes
* Coordinating the recruitment process specifically around more senior appointments
* Preparation of all necessary documentation for upcoming meetings, including printing, photocopying, scanning and binding
* Managing all incoming post, correspondence
* Diary coordination of team members and booking of internal and external meetings
* Carry out reception duties when necessary, meeting and greeting guests
* Managing the meeting room calendars
* Maintaining the filing system and archive accordingly
* Updating the project directory on a regular basis and distributing internally to the team
* Liaise with external consultants and contractors
* Liaise with the accounts department in respect of invoices. Raising purchase orders, cheque requisitions and consultant approval forms for invoices to be paid

About the Candidate:

* The ideal candidate will be in a PA/Secretarial role currently within an established construction company whilst possessing at least five years' experience in the role
* Previous experience within an asset property Management company will be advantageous
* Excellent communication skills, with strong ability to network and quickly build a rapport with team members
* Strong secretarial skills and good working knowledge of Microsoft Word, Outlook, PowerPoint and Excel
* Able to use initiative
* Excellent time management skills, with good ability to prioritise and manage expectations effectively
