Executive Assistant


Brook Street is currently working on behalf of our Global IT Client to recruit an Executive Assistant to GM to One Commercial Partner Business. This is a contract role until June 2018 based in Reading.

Role Purpose

The successful candidate will ensure that the regional team runs as smoothly and efficiently as possible by handling and prioritizing all internal and external requests for time and resources and ensure that the clients' time usage and productivity is maximized to its full potential.
Required skills include: initiative, highly accountable, professional, proactive, interactive, trustworthy and confidential, resourceful, and energetic. Looking for someone with high level of organizational skills, intellectual horsepower, and ability to deal with ambiguity. Experience of working in a fast-paced Sales and Marketing environment would be extremely beneficial. The successful candidate must have outstanding communication and operational efficiency skills and be comfortable engaging with senior execs inside and outside of the business.

Key Accountabilities
Heavy calendar management, responsible for overall effectiveness of GM's time. In-depth and thorough travel planning and time management.
Screening and prioritisation of all incoming requests through knowledge of activities and executive working practices.
Proactive management of all communications/enquiries (mail/email/telephone) ensuring business focus is maintained, a high-level customer and partner experience is delivered, and minimum disruption experienced. Close partnership with GM to understand which decisions can be made in his absence.
Client briefing and preparedness for all requests of time, through coordination of smart meeting briefs, clarity of key messages, background, and objectives.
Follow up and driving to closure meeting/email actions to ensure projects are on track
Direct interface both internally and externally, operating as representative of business and of GM.
Assist with internal/external profile of Executive visits, external customers/partner meetings, etc.
Working closely with internal teams to ensure communications is effective, responsibility for assisting with drafting and editing internal and external messaging, ensuring consistency of messaging, clients' style etc.
Project management and organization of departmental activities such as management offsites, trainings, etc.
Sourcing information and applying pro-activity, initiative, judgment, discretion and confidentiality to all tasks.

The ideal candidate is someone who has:
* Has operated as an Executive Assistant within a blue chip environment at a senior Executive level.
* High level of specialised job knowledge in a combination of areas as well as familiarity of Board level operations and responsibilities.
* Experience of making effective use of cross company resources through team working and networking.
* Good interpersonal skills; diplomacy and ability to handle conflict and ambiguity well
* Highest level communication skills both written and verbal
* Excellent planning, communications and organisational skills
* Ability to modify approach to reach goal/deadline and adapt to changing circumstances.
* Ensuring good work standards by setting clear and high level goals

Salary: up to £39,000 per annum

Location: Reading
