Chief Administrative Officer

A rare opportunity for the role of Chief Administrative Officer and Personal Assistant to the Head has opened at our nursery.

Our nursery is an outstanding private day nursery in a beautiful purpose-built building located in North West London. The nursery is open all year round and is catering for 140 children at any one time.
Everyone who works at our nursery is extremely committed to their role and works to the highest of standards. Our Management Team have been in situ for over twenty years.

The position of CAO/PA will commence in September/October 2017 on an annual salary of £40,000 - £50,000, weekly hours of Monday to Friday.

8.45am – 6.00pm
29 days annual leave to be taken during school holidays including bank holidays.

THE SUITABLE CANDIDATE MUST:

-Have a high degree of personal and interpersonal skills showing initiative,
flexibility, confidentiality, diplomacy and discretion.
-Be highly organised.
-Work well under pressure and meet deadlines. This role is pressurised and
would not be suitable for someone who needs to work within these strict
times as after hours may be required during busy periods and on occasions
such as parents evenings, staff meetings and deadline dates.

-Have attention to detail with high levels of accuracy.
-Have the ability to multitask with a serene disposition, be approachable.
-Have leadership skills and previous experience managing a team of people.
-Have an open mind and the ability to adapt.
-Be energetic and enthusiastic.
-Adhere to our confidentiality policy at all times.
-Form and maintain appropriate relationships with colleagues, children and parents.

MUST HAVE THE FOLLOWING SKILLS/QUALIFICATIONS:

-ICT Skills –Microsoft Office essential, online safety awareness, adaptability to learn new software system
-Numeracy skills for statistical data entry/analysis
-Excellent interpersonal skills - fluent in written and spoken English
-Degree Level educated
-Previous school-based experience not essential.

JOB DESCRIPTION:

-Heading a team of three staff (an Accounts Administrator, Administrative Assistant and a Receptionist) this is a fabulous opportunity for someone who is committed to ensuring the smooth running of all administration.

within the nursery and can provide all day assistance to the Headmistress.
-Primary assistance to the Headmistress – correspondence with parents, staff and outside agencies via telephone, email or letter, liaising with the Head’s diary to book appointments, assisting with the weekly guided tour for prospective families.

-Supporting team of staff to ensure all regular and annual planner tasks are met in a timely and accurate manner.

-Registrar – overseeing the admissions process from each family’s first point of contact to the their leaving date, upkeep of existing class lists (dealing with any changes of sessions, leavers, new starters) and creation of future class lists every September as directed by the Head involving overseeing accurate documentation during the lengthy offer making process.

-Running of operational matters – monitoring the main nursery email inbox (printing off nursery vouchers, replying to any parent, school or client questions), ordering of stationery, daily/weekly postal runs, changing of annual filing system and upkeep of Ofsted folders, assist the Head in the booking of nursery events such as sports day/outings/school hall hire.

-Point of contact for all parent queries – answering phone calls and replying to/sending emails and letters.

Human Resources – assisting with the recruitment of staff, preparing and sending new staff contracts, management of the Pension software, maintaining the Single Central Register (details of all staff), renewing existing staff contracts annually, annual declarations and recruitment advertising.

-ICT Skills management – candidate will be trained in the use of the nursery software and will become the Online Safety Coordinator including posting on the nursery website – posting of weekly newsletters/news items/ photographs and annual update of site, termly spot checks on all nursery computers and submitting termly evaluations.

Financial matters – to have knowledge of all accounts administration activities at the nursery (undertaken by accounts administrator) to enable the management of these tasks in the absence of the administrator (candidate will be trained)
-Overseeing Reception cover at busy times.
