Purpose of the role
The Conference Coordinator will be responsible for on-site management of an existing portfolio of Events across the EMEA Region. The Conference Coordinator will build and maintain relationships with external organisations and with internal and external contacts.

Conference Coordinator Requirements:
Good project management, planning skills and relationship management are a must and the ability to work under pressure whilst maintaining a positive outlook and a flexible "can do" attitude.

- Minimum 2 years’ event logistics experience
- Eligible to work in the UK

Conference Coordinator Responsibilities:

- Support the Customer Services Team to ensure the delegate registration process for each event is accurate and up to date
- Use the company CRM system to compile, maintain and use accurate speaker and sponsor records
- Liaise closely with the accounts department to ensure weekly processing of invoices and accurate post-event breakdown of delegate numbers and revenues
- Liaise with high level sponsoring organisations and guest speakers
- Provide regular feedback and updates on event progress to line managers and relevant event managers
- Set up conference calls for panel participants
- Manage delivery of post-event material to delegates and sponsors.
- Updates to delegate business cards into CRM system
- Deal with all invoices to ensure prompt payment and facilitation of post-event P&L accounts
- Liaise with Marketing Team to ensure the Events website is up to date and accurate at all times.
- Take responsibility for all conference materials (laptops, monitors, stands, archives, AV equipment)
- Co-ordinating travel and shipments to and from events across EMEA
- Assist Conference Logistics Manager with the sourcing of venues including negotiation and contracting
- Able to travel internationally for Events
