Group and Events Coordinator – Hilton Branded Hotel London

Salary: approx. £20000 + benefits

THE ROLE

Handling of group reservations, meetings and events planning, providing required administrative support and taking every opportunity to maximise revenue

KEY RESPONSIBILITIES

  • Deal with all incoming enquiries (email, phone, fax, etc)
  • Ensure the complete administration and execution of all planned events and group bookings
  • Action amendments, rooming lists and ensuring group blocks are kept up to date.
  • Maintain entries and leads into the booking systems
  • Create SRPs on the system, inputting all group reservations and creating all packages and RMS values
  • Produce contracts and pro-forma invoices to the company standard
  • Ensure all payments (deposit, invoice, additional charges, etc) are accurate and taken in timely fashion
  • Produce all necessary reports daily/weekly/monthly basis and issue function sheets and group
  • Coordinate and prepare delegate packs and papers including menu choices and buffet food display cards
  • Keep up-to-date with the hotel services, promotions, equipment prices, etc to ensure best services to client
  • Liaison with sales and operations teams to ensure consistency of meeting product offering and service standards
  • Conduct hotel show rounds or attend meetings where appropriate
  • Check commission invoices for group and events
  • Meet and greet event/group organiser on arrival for their event, periodically check satisfaction with them and actively seek client’s feedback
  • When required covering reservations agent for holiday cover
  • Consistently deliver excellent service to all guests and clients

The Ideal Candidate

  • Hilton/OnQ PM & ONQ R&I experience is essential
  • Excellent organisational and administration skills
  • Positive attitude and excellent communication skills
  • Commitment to delivering a high level of customer service
  • Confident telephone manner
  • High level of IT skills
