Receptionist/Office Assistant


Monday-Friday 9am to 6pm

Temp to Perm opportunity available

£10-£11 per hour (£20,000-£24,000 dependent should role go permanent)

We are keen to speak to vibrant, well presented individuals with experience in a busy reception role. This is a varied position suited to bubbly people with a willingness to turn their hand to a variety of tasks. You will be looking after a busy reception area so great customer service skills and the ability to work efficiently are essential.

We are an award winning Property recruitment company and pride ourselves on our fantastic client relationships and our fabulous team. We are looking for someone polished with great multi tasking abilities to look after our busy reception and assist with office duties.

Key Responsibilities:

Welcome all visitors to the offices; inform company personnel of visitor arrival
Maintain a safe and clean reception area; ensure meeting rooms are clear and ready for the next meeting
Answer and transfer calls; take messages as required
Order supplies including stationery, refreshments, lunches
Health and Safety compliance
Support the Office Manager with arranging travel, events, appointments etc
Ad hoc administrative tasks as requested by the departments

Working Hours:

The hours are Monday to Friday, 9am to 6pm

Main Duties:

Cover the main reception at all times
Meet and greet incoming clients, candidates and guests. Announce all visitors to relevant parties. Manage the signing in book
Ensure candidates complete correct paperwork; take photos for first time visitors
Take copies of relevant candidate identification and Visas
Upload candidate information to shared drive and CRM software
Input data to software systems with exceptional accuracy
Provide admin support as requested by the departments
Manage the meeting room system; prioritise necessary bookings and inform all staff when there will be high demand for rooms
Ensure meeting rooms are presentable at all times; ensure air conditioning system is set to appropriate levels
Answering and transferring incoming calls; announcing calls in a sensitive and confidential manner (if necessary, coming off the front desk to announce calls)
Taking clear messages and emailing relevant employees instantly
Monitoring levels of supplies, taking stationery orders from staff and ensuring office is always stocked with stationery and ink
Ordering refreshments including fruit, milk, juice and alcoholic beverages
Monitoring kitchen cleanliness; emptying dishwasher when necessary
Manage health and safety for the office, including arranging PAT testing, training and maintaining records
Ensure that the highest levels of customer care and service are maintained at all times
Any other duties as requested by the Office Manager or Senior Management
Person Specification:

Assertive, confident person who is able to work autonomously
Someone with high standards and the drive to achieve them
Immaculately presented and with excellent communication skills, both written and spoken
Attention to detail/high levels of accuracy
MS office proficient
Highly organised with the ability to juggle multiple tasks and prioritise
Friendly, approachable and with good customer service skills
Previous experience managing a busy reception
