We have an excellent opportunity based with our client in the city centre who are looking for a Project AdministratOR.

This role will be working within a team of 4 people based in a fantastic working environment. The role will be to assist the Transition Coordinators and Transition Project Manager in order to meet challenging client targets, service levels and to ensure continuity of service delivery.

ACCOUNTABILITIES

• Be part of the Transition team by ensuring you understand the project plans and the delivery dates.
• Process and set up Client and Property records on the core system.
• Track and collate information from previous managing agent and solicitor, report to Transition Co-ordinator and manager missing information.
• Initiate all new bank accounts to be set up with the treasury department.
• Maintain One Form administration including the reconciliation of GHOST records on a monthly basis.
• Issue letter informing suppliers of change in managing agent.
• Prepare and issue tenant welcome packs.
• Organise users to have access to new clients/property after completion of set up.
• Upload take on arrears reports to the system and pass open service charge years information to be loaded by Service charge team.
• Archive all closed clients and properties within the specified timeframes.
• Amend system with any changes of static data at client and property level.
• Liaise with all teams to assist the coordinator to meet agreed deadlines set within the project plan.
• Work with the team to ensure there are no backlogs of work.
• Ensure both Company and legislative procedures and controls including ISAE3402 are adhered too.
• Any other duties necessary to effectively ensure the smooth process of properties coming in and out of the business.

REQUIRED QUALIFICATIONS AND EXPERIENCE

• Excellent Excel skills, to pivot table, VLookup and Macros
• Working knowledge of MS Word, PowerPoint and Outlook required and knowledge of
Property system would be advantageous;
• Good interpersonal and communication skills
• Must be flexible and able to work under pressure, multi task and effectively prioritise.
• Organised, with attention to detail and able to work to tight deadlines
• Able to apply common sense
