The Estate Manager is responsible for ensuring that Residents Association has the most suitable and safe living environment for its residents, staff and their activities, and will focus on using best practice to improve efficiency, by reducing operating costs whilst increasing service levels.

FACILITIES MANAGEMENT

Reporting to the Board of Directors, the Estate Manager is responsible for the day-to-day operations in relation to buildings and premises.

Main Activities:

  • Liaise with tenants/lessees and managing day-to-day resident/lessee enquiries
  • Ensure Lease compliance by lessees and residents
  • Building and grounds maintenance
  • Cleaning supervision
  • Providing adequate heating in the common areas
  • Risk management and health and safety compliance
  • Security
  • Utilities and communications infrastructure
  • Supervision and co-ordination of work of contractors
  • Investigations into the availability and suitability of options for new purchases
  • Calculate and compare costs for required goods or services to achieve maximum value for money
  • Plan for future development in line with business objectives and cyclical maintenance plans
  • Manage and lead change to ensure minimum disruption to core activities
  • Complaint handling and managing disputes associated with facilities
  • Direct and plan essential central services such as reception, security, maintenance, mail, archiving, cleaning, waste disposal and recycling
  • Plan best allocation and utilisation of space and resources for new maintenance projects, or re-organising current premises
  • Check that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies
  • Coordinate and lead a team of staff to cover various areas of responsibility
  • Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement
  • Co-ordination of matters/management of including upkeep and liaison with lettings agents as appropriate and maintenance as required
  • Management of insurance claims.

Staff/Contractors:

Main Activities:

  • Recruit and engage staff and draw up staff contracts and prepare job descriptions
  • Prepare specifications for contractors and manage competitive tenders to present to the Board of Directors of for approval
  • Supervise staff and regular contractors such as cleaners, gardeners
  • Ensure appropriate training and compliance with Health and Safety and employment legislation
  • Check that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies
  • Delegate responsibilities to Head Porter and other staff and ensure adequate cover in your absence.

FINANCIAL/ADMINISTRATIVE

Reporting to the Board of Directors, the Estate Manager is responsible for providing financial, administrative and related clerical services in collaboration with designated financial advisors.

Collaboration with designated financial advisors will be required to ensure efficient and accurate financial management, reporting processes, bank reconciliation and bookkeeping.

General Financial:

Perform the day to day processing of financial transactions to ensure that Hooper Square finances are well maintained in an effective, up to date and accurate manner.

Main Activities:

  • Receive and verify invoices and requisitions for goods and services
  • Prepare, verify, and process invoices and coding payment documents
  • Process backup reports after data entry
  • Manage the cheque run
  • Record all cheques/payments
  • Prepare supplier payments for signature and mailing or electronic payment
  • List all supplier cheques in the accounts log/database entry
  • Maintain listing of accounts receivable and payable
  • Maintain the company databases
  • Manage and ensure the correct processing of the staff payroll
  • Prepare weekly/monthly reports as appropriate for the Board of Directors
  • Back-up all financial documents/spreadsheets
  • Ordering of supplies, invoices checked and signed off by the Board of Directors
  • Safekeeping of petty cash

Service Charge:

Co-ordinate all matters relating to the bi-annual collection of service charges.

  • Receive and verify payments/cheques and manage related banking
  • Manage service charge demand preparation
  • Issue reminders and follow up arrears as appropriate
  • Manage related spreadsheets and mail merge documents
  • Prepare weekly/monthly reports as appropriate for the Board of Directors
