Working for an organisation who have been established since the 1800s and offer an incredible 25 days holiday plus bank holiday, you will be part of the procurement team who work in an incredible office based in South Kensington.

What you will be doing:

• Efficient administrative support to the Head of Procurement.

• Identify and implement improvements to the administration processes and business planning of the procurement department with the Head of Procurement

• Maintain an organised system of filing, contract archiving and storage to ensure the smooth operation of the Procurement department.

• Contracts Database – to manage and produce reports from the contract database and advise Procurement Manager of those contracts that are coming up for renewal to ensure that Departments allow sufficient time to tender for the goods and services. This will also include adding contracts to the system.

• Maintain the process of contract reviews that need to go through Legal.

• Provide Support for Travel Management System when needed

• Credit checking – to undertake credit checks for all suppliers and for all tenders that are undertaken to ensure a consistent approach

• New Suppliers – to add new suppliers to the accounts system after checking to ensure that the goods and services cannot be accessed using agreements already in place, this will reduce the number of new suppliers and support the rationalisation of suppliers across the organisation

• To assist in managing the requirement of One-Off payments to suppliers and to support finance in reducing the number of these transactions.

• Organise with Head of Procurement regular Procurement Training for staff. This will include booking venues, arranging catering, etc

• To undertake (with guidance and direction), or to assist in, the preparation of reports and records.

• Supporting the Head of Procurement in establishing and maintaining the Procurement Department's service standards, methods and strategies

What you bring to the team:

• Evidence of through and conscientious attention to detail, high accuracy and presentation

• Experience in dealing with multiple senior managers and varied customer stakeholders, including external suppliers

• Have experience of setting up and developing processes and looking for continual improvement.

• Be computer literate with good Microsoft Word and very strong Excel skills

Salary is £21/23k hours are Monday to Friday 9-5.30 with an hours lunch.
