Job profile

A Japanese Pharmaceutical company is looking for an Administrator for General Affairs

Main responsibilities

· Supporting day-to-day functions concerning the office environment

· Supporting Health and Safety, Fire Risk Assessment and First Aid

· Supporting other company staff as required including booking hotels and making travel arrangement.

· Liaising with accountant to report employee’s payroll and company expenses accordingly.

· Coordinating with legal professionals to compose offer letters, contracts, staff handbook, and company policy as appropriate.

· Managing external affairs: liaising and negotiating with solicitors, consultants and other service providers in line with company requirements and policy.

· Recruitment: conducting inductions and making necessary arrangement for new starters.

· Managing day to day HR activities: attendance management, employee files, holiday files ensuring correctly processed based on the company policy and correct administrative process.

· Assisting company with employees’ performance reviews.

· Managing with Warehouse/Sales to prepare insurance claims.

· Supporting Manager and Assistant Manager as required.

· Taking calls and Dealing with visitors.

· Supporting order of monthly supplies.

· Liaising with service providers to maintain office equipment and machinery.

· Researching service providers for office and gathering quotes, negotiating price as required

· Supporting company Petty Cash and dealing with a petty cash claim from employees.

· Creating and translating documents and interpreting during meetings for MD, GM and company when required/depending on language skills.

Who we are looking for

· Highly numerate.

· Strong written and verbal communication skills in English.

· Japanese language skills advantageous.

· Knowledge and/or experience of legal matters advantageous.

· Previous bookkeeping experience required.

· Good Knowledge of Microsoft Word, Excel.

· Strong experience in data entry to very high level of accuracy.
