My client, a leading global provider of marketing automation software business is  seeking an Office Manager to join its business based in Central London.

As Office Manager you will organise and coordinate all office management activities, administrative facilities and office procedures to enable the smooth running of an office.

Office Management
*Ensuring customers and visitors are welcomed in a professional manner. Managing switchboard.
*Refreshments for meeting rooms and visiting clients and organising catering (on request).
*Organising the office layout, maintaining supplies of stationery and equipment and recording office expenditures.
*Maintaining the excellent condition of the office and arranging for necessary repairs.
*Managing decorative projects and ongoing improvements in the London office.
*Liaising with building management regarding Security Passes, A/C and communal areas.
*Managing cleaners and ensuring exacting standards of cleaning.
*Managing multiple supplier relationships, ensuring good service.
*Managing an Office Executive.  

*Procuring IT equipment.
*Organising for laptops to be fixed.
*Setting up new phones and managing phone system.
*Organising social events onsite and offsite.  
*Managing and reshuffling the meeting room diary.
*Organising gifts for clients and staff (on request). Ordering business cards. *Ensure filing systems are maintained and up-to-date.
*Shipping items and receiving deliveries.
*Manage Outlook filing system.  

Health & Safety
*Managing Health and Safety compliance, striving towards best practice at all times.
*Coordinating all elements of Fire Safety and First Aid.  

Human Resources
*Managing the office seating layout and organising desk moves and changes.
*Ensuring all equipment, branded marketing materials and desks are ready for new joiners ahead of their start date.
*Welcoming new employees and overseeing the onboarding process. *Updating Confluence Phone List and fulfilling Jira Tickets for updating HQ. *Managing delivery protocol; recording IT equipment for joining and leaving employees.
*Responsibility for managing Volunteering programme  

Travel Arrangements and Visa
*Preparing visa documents and applying for visas for visitors.
*Booking flights and hotels for staff on a regular basis.
*Preparing PO ‘packs’ for Finance.
*Filing copies of passports for creating travel profiles.  

General Requirements
*Completed secondary education ideally with commercial focus (high school, apprenticeship)
*Experience with Office Management responsibilities
*Knowledge about travel and visa procedures is an advantage
*Great MS Office skills such as Word, Excel, and Outlook
*Excellent English language skills
*Experience with working with people from different cultures
*Great organisational and communication skills
*Negotiation and relationship building skills
*Initiative and problem solving skills
*Ability to manage small projects and to 'make things happen'
