Part-time Practice Administrator / Personal Assistant – Wealth Management (4 days a week)

We are recruiting for a Part-time Practice Administrator / Personal Assistant to support a Senior Partner within St. James’s Place Wealth Management, based in Harrow (HA1 2)

The role would suit a professional individual, with previous financial services administrative experience, who is willing to offer long term commitment to the role, where there will be the opportunity to progress and advance in the role in terms of wealth management administration and processes knowledge via internal training opportunities.

Role purpose

To provide full support to the Senior Partner in terms of Practice administration support and financial business processing, whilst also providing a high level of client service to the high net worth clients.

Role content

The role is a mix of both Administration support and Client Servicing and is broken down as follows.

Client Servicing
• Management and maintenance of client servicing proposition for all existing and new clients, including organising client gifts, greeting cards, etc.
• Diary management – Supporting the Partner where required only, booking in existing and potential clients, plus all business related appointments.
• Reconfirming meetings with clients 1-2 days prior to the meeting by telephone or email.
• Managing all client actions. Keeping a note of times/dates of telephone calls and people spoken to.
• 1:1 debrief meetings with Partner following on from client meetings.
• Sending follow-up emails to clients, confirming meeting content and actions required.
• Dealing with all incoming telephone calls from clients and contacts.
• Keeping all client contact details up to date within the CFR, including address changes, updates in employment, etc.
• Updating Administration Centre and Policy Services regarding change of address or bank details for clients, where relevant.
• Issuing policy documentation to clients once an investment has been completed with St James’s Place.
• Issuing wealth accounts or valuations to clients, either on an adhoc or regular basis
• Liaising with internal administration centres regarding clients’ funds and investment queries.
• Meeting pack; preparing Agendas, obtaining up to date wealth accounts, CRR’s, illustrations, letters of authority, and CFR notes
• Issuing final (approved) suitability letter to client

• Entering Partner detailed notes for clients onto Swift/CFR.
• Keeping client policy information up to date on the CFR (SJP and external providers).
• Management of client ID procedure for investments, protection and pensions, including signed client declarations for suitability letters.
• Liaising with providers to obtain information on client’s external policies, diarising and chasing up where appropriate.
• Issuing letters of authority to Providers
• Completion of checklists from provider information received against letter sent.
• Using the internal intranet system to manage client basic enquiries
• Management of Work in Progress of all cases in hand and pro-actively moving these cases along to completion. Working closely with Paraplanner and being first point of contact with Paraplanner.
• Quality checking the grammar of documentation prior to issuing to client.
• Management of business pipeline to ensure cases are ‘in force’ and the Partner is paid.
• Processing switches, withdrawals, via Partner.
• Managing all stationery and general office supplies
• Ensuring adhere to the Data Protection Act 1998 when dealing with all client paperwork.

• Submission of Electronic applications and creating advice sets via Swift
• Submission of external business applications (non St James’s Place), online.
• Submit ISA’s and Unit Trust applications and illustrations
• Preparation of illustrations and analytics.
• Preparing a compliant CFR/Handover document for Paraplanner to prepare suitability reports.

Personal Attributes

• A minimum of 1 year of working within an administration role, knowledge of financial services preferable although not essential.
• Good knowledge of all Microsoft Office products i.e. Word, Excel, Outlook
• Able to work off their-own initiative in a fast-paced environment, often unsupervised.
• Ability to be able to prioritise effectively when unsupervised.
• Flexible approach to their workload and day to day requirements of the business
• Enjoys working within an administrative role and experience of dealing with HNW individuals.
• Excellent attention to detail
• Trustworthy and loyal. Longevity in the role is important.
• Excellent telephone manner and well presented.
• Good team working skills, as the team are based remotely.
• Ability and desire to learn and up-skill to improve knowledge of Wealth Management processes and procedures.

Additional Information
• 9.00am-5.00pm, but is flexible i.e. could be 8.30am – 4.30pm / 9.30am – 6.00pm.
• Four days a week – Monday to Thursday (Friday not required to work)
• Salary – £22-30K per annum pro-rata
• Discretionary bonus which will be linked to personal performance

• 25 days hols + BH pro-rata
• Start-dates: July / August 2017
• Location Harrow, HA1 2 (5 mins walk from Harrow on the Hill tube station).
