The Company:

Our client has been established for 60 years and is a family run business that employs around 150 people across the UK; from their six branches they operate approximately 2000 vehicles, and predominantly supply vehicle rental services to the commercial sector.

Role Overview:

The role of Operations Support is a very important and responsible position within the company; it will be varied, and you will be kept busy at all times. Detailed training will be provided in the use of all Company Software Systems, and associated procedures/processes. Your core responsibilities will be to provide short and long term Operational/Administration support for both the Rental and Workshop function and you will also be required to provide cover for both the Rental and Workshop Managers in their absence.

Rental Function:

  • Answering the telephone and dealing with rental enquiries/customer queries
  • To raise rental agreements and termination documents
  • Assist with the day to day running of the rental desk
  • Adopt a dynamic approach when assisting on the rental desk by ensuring that all rental opportunities are maximised whether it be length of hire or number of hires
  • Accurate and comprehensive data entry on to both manual and computerised systems
  • Providing excellent customer service at all times

Workshop Function:

  • Answering the telephone and dealing with scheduled vehicle maintenance/breakdown enquires
  • Scheduling mobile mechanics’ workload
  • Running weekly vehicle 'overdue’ reports
  • Liaising with external repairers to ensure pre-organised work is complete
  • Obtaining paperwork from external suppliers
  • Monitor vehicle compliance dates on the system
  • Scanning vehicle history compliance paperwork on to the system including MOT certificates etc

Required Skills:

  • Proficiency to an intermediate level with Microsoft packages, Word, Excel and Outlook
  • Sound geographical knowledge of the UK
  • Ability to multi-task and think on your feet
  • An excellent telephone manner
  • Confidence and a sense of humour
  • Ability to learn new procedures quickly
  • Understanding of the importance of team work and attention to detail
  • Someone from a vehicle rental/workshop related background would have the ideal transferable skills for this role however a strong administrator with operational skills will be considered
  • Flexible in your approach to adjust to the business needs

Additional Information:

  • Hours of work - Monday to Friday 8:00 am - 5:00 pm with 1 hr lunch break (flexible start/finish times)
