A Local Authority are looking for an Apprenticeship Levy & Development Co-ordinator, tasks are outlined below:
To monitor and manage an inbox to collate all notifications with regards to apprentices and other relevant information. Respond to internal and external queries with regards to Levy.
To keep up to date with legislation and organisational changes that may affect the process of allocating Levy funds to ensure compliance. Communicate changes to all relevant parties and implement them as appropriate.
Participate in regular webinars as and when required
Contact the ESFA directly with any queries or questions to obtain clarifications on any matters arising.

Digital Account - Government Gateway (Portal)
Manage viewing rights of other admin users and add/delete as appropriate to maintain sufficient access and cover.
Review and approve information submitted by chosen providers in regards to their apprentices and manage the cohorts created. Communicate regularly to ensure timely processing and verification of all data.
Input information relating to apprentices to submit payment information to providers for review.
Carry out provider checks to ensure those are on the ROAPT register.
Report any portal issues via the webform function to resolve any technical issues.

Procurement Process - DPS
Assess funding level threshold to apply procurement rules as appropriate.
Apply procurement template requirements and obtain quotes when that is applicable. Ensure consistency of communications with all parties the quotes are received from.
Collating and recording quotes and communications in regards to commissioned services with any chosen provider.
Notify the Procurement Team for spend over £50K to invoke the tender process

Tracking - Audit Trail
Update an offline tracker to ensure all relevant information is captured and reviewed for inspection purposes by both internal and external auditing processes.
Make use of templates for emails/letters to communicate with providers to maintain a consistent way of requesting services or cascading updates.
Monitor spend for Corporate and maintained Schools, against the overall pot and individual spending limits.
Communicate with individual schools to establish compliance with provider selection when the Apprenticeship Team is not utilised to facilitate that process.
Work closely with corporate L&D and OD team to ensure that any qualifications being offered through the Levy to employees as part of their CPD are tracked and spend monitored

Funds Allocation
Attend strategic meetings to be informed of eligibility of Corporate Training spend allocations and School overspend decisions.
Support with spending queries from internal departments and maintained schools via the inbox.
Advise on levels of fund allocation by producing monthly reports to inform management of current and projected levels of spend.

Apprenticeship Development Tasks
Recruitment paperwork:
Contacting candidates via e-mail on internal recruitment system
Processing candidates on internal recruitment system
Compiling and updating attendance and test scoring lists for candidates
Processing starter recruitment paperwork and reference request and follow up
Monitoring apprentice details spreadsheet to ensure information kept up to date and accurate
Sending review paperwork to apprentice managers and monitoring their return
Send apprentice vacancy information to mailing lists for marketing purposes
Use of systems and IT
Booking rooms on 'in house' System
Using Excel spreadsheets to add, delete and manipulate for data on apprentices for monitoring purposes
Keep policy and procedure documents up to date
Keep powerpoint presentations up to date
Monitor generic e-mail account
This is a full time position 37 hours per week, based in Central Coventry with an immediate start
