My client are seeking an enthusiastic Event's & Sales Coordinator with a desire to share their passion for the hospitality industry by delivering consistent, seamless and exemplary service. Based in our busy office, you will be at the hub of all departmental activity. You will work well under pressure with an accurate and consistent approach to customer service and departmental requirements.

Oversee all aspects of event planning and management, including internal and external events, with experience in wedding planning.

Key responsibilities

  • Dealing with guests over the telephone (Must ensure that the phone is answered within 3 rings and guest names are used)
  • Putting conference dates in the diary
  • Negotiating rates
  • Up selling more expensive event or conference packages
  • Ensuring marketing promotions run at the right time
  • Updating and cleansing the database to make sure you're selling to the right people
  • Creating event proposals which fit client requirements and presenting proposals by deadline (Ensures a 2 hour turnaround time for the answering of a customer enquiry)
  • Planning event aspects, such as venue, seating, dining, and guest list
  • Delegating event planning tasks to other staff members where necessary
  • Demonstrating to clients strong knowledge of venue and taking clients on tours of venue possibilities
  • Coordinating event entertainment, including music, performers, and guest speakers
  • Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports
  • Anticipating and planning for different scenarios
  • Creating sales opportunities for future events during client liaisons and during events, including
  • Planning multiple events at once
  • To achieve budget, profit and customer satisfaction goals by following sales procedures
  • Demonstrate an ability to communicate with and understand the needs of others clients, colleagues and other departments
  • Apply sales techniques, after appropriate training, into every day customer contact to gain maximum conversion of business
  • To follow up provisional bookings and contracts
  • Preparation and distribution of function sheets and amendments
  • Typing of menus and name cards
  • Identify and develop sales leads
  • Complete follow up sales calls
  • Meet and greet clients and organisers on the day
  • Carry out show rounds and site inspections

This is essentially a 9-5 job, five days a week, unlike most of the hospitality industry, although no doubt you'll have to work long hours in the run up to large events.
