Marketing/Promotional Account Assistant

Godalming

£18,000-£20,000 per Annum

Overall Job Purpose

Your primary role is to support the Account Manager in the successful delivery of all projects in their planning, activation and evaluation along with ensuring each client receives best in class client service at all times.
You will also be responsible in managing promotional staff across live projects ensuring we are delivering best in class service at all times to our clients. You will at times need to support the Staffing Account Executive in the lead up to projects to ensure we have a full team compliment and staff members have all the necessary information ahead of a live project.


Client Responsibilities

  • You will act as a point of contact in the absence of the Account Manager for day to day challenges
  • Ensure that clients have a clear understanding of the company working processes (where applicable)
  • Work with the Account Manager to ensure we are fully prepared for all client meetings with expectations agreed with the client prior to the meeting
  • In all client meetings complete a contact report and send to the client within 24 hours of the meeting (work with the Account Manager on this prior to sharing with the client)
  • Any future business opportunities are explored and communicated to the Account Manager for further investigation


Commercial and Financial Responsibilities

  • Assist in the planning process for new and existing clients (where applicable)
  • Work closely with the Account Manager in supporting in the managing of budgets once agreed with clients;
  • Ensure our suppliers are offering cost effective and quality solutions (three supplier quotes required)
    o Keep project profitability front of mind and achieve cost savings wherever possible
    o Budget control and reconciliation (both internal and client)
  • When briefing the Staffing team of a projects requirements ensure you are clear as to the terms of contract for staff i.e. number of days, daily wages, travel expenses, accommodation etc.
  • In the absence of the Staffing Account Executive you will need to manage the weekly processing of staff timesheets and expenses in a timely fashion to meet deadlines

Project Responsibilities

  • Support the Account Manager in the successful delivery of all live projects
  • Manage promotional staff to deliver projects in line with both client and internal objectives/targets
  • Ensuring each staff member working on a live project has the necessary tools to complete the job i.e. brief, uniform, pay information and most importantly an Account Team contact (work closely with the project Staffing Account Executive to ensure this is complete)
  • Brief all staff via Skype or the telephone prior to the working their first live day on a project
  • Support the Account Manager in collating weekly reporting and end of campaign evaluations
  • Ensure the company procedures and paper flow is adhered to at all times
  • Project management ensuring a realistic time table
  • Ensure the project job bags are organised and files are marked correctly
  • Staffing support;
    o Book and assist the Staffing Account Executive/s in booking the right profile of staff member for each project
    o Support the Staffing Account Executive/s in quieter periods with the recruitment of promotional staff and assisting in delivering recruitment days

  • Excellent interpersonal skills, including effective written and verbal communication
  • Comprehensive influencing abilities and negotiation skills
  • Be able to work independently and manage own project tasks efficiently
  • Be able to work as part of a team, within a number of roles
  • Confidence to manage staff in the field
  • You must be flexible to deal with changes on a project, such as last minute cancellations
  • Full driving license (own car an advantage)
  • Good working knowledge of Word, Excel and Power Point
  • Excellent eye for detail
  • Be able to think on your feet to resolve any issues that may arise
  • Have a minimum of 1 years agency experience in a promotion staffing agency, experiential or field marketing agency and or an agency which delivers B2C events
