Our client is a well-established Patent & Trademark firm with offices based within a modernised Georgian building overlooking one of the Inns in Holborn. They are known for their work in biotechnology, pharmaceuticals, electronics and software related inventions.

They are now looking to hire a Billing Assistant, ideally with some professional partnership experience to join their finance team.

Responsibilities

Assist and support with E-Billing process; ensuring the prompt and accurate production of all bills, ensuring that they comply with relevant VAT rules and presentational standards

Assist in the accurate processing of all write-offs of unbillable time and disbursements

Dealing with any inter-folio transfers as well as take responsibility and manage own portfolio of clients

Preparing soft copy bills and arranging for distribution as directed

Preparing WIP reports and Costs Incurred reports for clients and Fee Earners as well as liaising with Fee Earners to resolve any queries

Assist the Billing Supervisor in the provision of estimating services and provide billing information to Fee Earners on request

To assist in systems testing processes and to support other systems change-over activities as directed

Keeping the Billing Supervisor and Billing team members fully informed of the current status of work and of any problems encountered as well as offering suggestions on how these might be resolved

Candidate Profile

Excellent understanding of VAT rules relating to billing

Excellent Excel skills and willing to learn elements and principles of in house system and IBM Notes.

Excellent arithmetic, written and verbal communication skills required for liaising with clients, Partners and other members of the firm across all levels of the business. Previous experience of working in a partnership environment is preferred

Strong attention to detail, confident manner and organised
