Licensing and Visa Administrator

Position: Licensing and Visa Coordinator 
Location: Upminster but there will be times when the employee would have to work in our London office 
Job Type: Full Time, Permanent 
Salary: £20k per annum 

About the role: 

To assist with the day to day operation of the Licensing and Visa department whilst working cooperatively alongside colleagues. To ensure compliance in all areas of licensing and visas, operate consistently within Company policy and provide excellent customer service at all times. 

Responsibilities: 

- Managing new employee files to ensure compliance, including checking for properly authenticated copies of licences, passports, visas and other forms of ID 
- Liaising with operations team and managers to ensure that employees have the correct documents on site 
- Preparing and sending out licencing application packs to employees 
- Submitting licence applications to the SIA on behalf of employees 
- Acting as a point of liaison between the SIA and employees to ensure a smooth progression of the application 
- Alerting operations and managers of potential concerns regarding licences and visa and advising the risks 
- Keeping abreast of government updates regarding licencing and visa 
- Liaising with the training department & vetting department to ensure all employees have the correct qualifications 
- Submitting right to work checks to the Home Office 
- Accurately recording licence and visa information, keeping it current and giving both employees and managers timely information 
- Managing the exit process regarding licences when employees leave the company and liaising with the Payroll department 
- Presenting to the operations team and management with licencing and visa information 
- Working in compliance with BS7858, ISO 9000, SIA and Home Office regulations

- Highly organised and structured approach to work 
- Excellent customer service skills to ensure customer needs are met at all times 
- Excellent communication skills, both verbal and written 
- Ability to be pro-active and work on own initiative 
- Ability to communicate effectively with people at all levels 
- Competent IT skills 
- Excellent telephone manner 
- Able to accurately record data 
- Timekeeping and attendance must be of a very high standard
