IT Administrator (3-month contract) - Guildford - £25k-£27k

To provide proactive and efficient administrative support to the IT team with particular focus on IT procurement.

Job Description

IT Procurement

  • Central point of contact for all IT procurement related work
  • Coordination of IT Procurement process from start to finish, including the following:
  • Raise Purchase Orders (POs) and obtain approvals appropriate to the PO value
  • Actively follow up on approvals to complete PO in a timely manner
  • Place orders as and when the team/business requires
  • Process all IT invoices within payment terms
  • Work closely with the finance team to ensure processes are running smoothly
  • Liaise with and act as the central point of contact for vendors
  • Process US, Bermuda and EU procurement work and cover EUIT and USIT email inboxes
  • Maintain contractor register and ensure contracts are extended / terminated in a timely
  • manner, staff list updated, POs raised and HR consulted
  • Various reporting requirements such as summarising PO activity

Renewals and contracts

  • Coordinate sign off of IT contracts ensuring they have been reviewed by procurement, legal, CIO and the relevant Officer
  • Ensure contracts are filed correctly and are easily accessible


  • Attend IT Council meetings to take minutes and actions
  • Deputise for IT Administration Manager at Project Board meetings as required to take detailed minutes capturing attendance, approvals and key points
  • Schedule meetings and conference calls as requested, book appropriate meeting rooms, circulate meeting packs in advance and send any meeting updates as necessary
  • Attend weekly IT Administration team meetings

IT Team Support

  • Coordinate IT travel / training / conference requests for the IT team as requested
  • Respond to general requests from the global team

In addition to the above key responsibilities, you may be required to undertake other duties from time to time as the Company may reasonably require.

Person / Experience Required


  • Competent in the use of Microsoft Office (especially Outlook and intermediate level Excel)
  • Experience of supporting a large team in an international company
  • Experience of working in an IT environment would be beneficial


  • Understanding of IT hardware / software
  • Understand of finance / purchasing processes
