Location: London

This is a fantastic opportunity to join a Leading Architectural and Design Practice, based in London. Our client requires a highly skilled PA to provide first class PA support and assistance to the Partner. The successful candidate will have proven experience working as a PA/EA at director level, in a team- based environment and will take pride in the accuracy of their work and the ability to be methodical.

The PAs are part of a wider Support Team. The support team achieves its collective aims through teamwork, high levels of service to colleagues and clients, personal development, cost awareness and receptiveness to new ways of working, recognising at all times the crucial contribution it has to the overall success of the practice.

Key responsibilities:

Typing and formatting all correspondence, including project fee and appointment letters and documentation

Assisting the ad-hoc personal tasks (for example letters, meetings, assisting with family holiday bookings) to ensure the Director’s work and home life are organised

Management of all filing; both paper and electronic

Diary management- using Microsoft Outlook diary management

Instigation of regular catch-ups with the Directors to review diaries

Management and review of inbox

Gatekeeping and acting as a shield (when required)by dealing with callers on the telephone and in person

Daily communication and liaison with other PAs and members of the support team

Working with discretion, professionalism and tact at all times: understanding the necessity to work with absolute confidentiality, and recognising that at times, there will be legal contractual obligation to do so

Travel arrangements (global), including flights, hotels, trains, car hire, visas, insurance etc

Preparation of monthly expenses and adherence to company procedures regarding financial processes

Skills & Experience:

Proven PA experience (at least 5 years at senior level)

Educated to A level standard

Excellent IT skills, Indesign and other Adobe Suite programmes knowledge highly beneficial

Fast, accurate Touch Typing- minimum speed 60wpm

Motivated, enthusiastic and flexible attitude

Proactive, with the ability to anticipate and deal with issues before they arise

Ability to remain calm and patient when required to meet constantly changing requirements

Strong organisational skills

A strong team player

Works well under pressure
