The Payroll & HR Officer will manage the monthly internal payroll cycle (with our external payroll bureau) and administer MSI’s employee benefit schemes. They will also provide generalist HR advice and assistance to the organisation and administrative support to the HR team. This key role will collate all bonus and commission information to ensure employees are paid effectively and manage auto-enrolment into the company pension scheme.

This position will take responsibility forcoordinating effective on-boarding and off-boarding processes to ensure deadlines are met. This will include accurate maintenance of HR records (both paper and electronic systems).

The post holder will observe strictest confidence and proactively work in the HR Team to effectively enable and support employees to be successful in their role. They will live company values and effectively communicate with stakeholders over the telephone, email and face to face.

The successfull candidate must be CIPD Qualified or have a similar qualification in Payroll and/or HR.


  • Produce accurate figures for payroll submission, including collating monthly commission/quarterly bonus payments and checking all variances.
  • Co-ordinate annual Payroll Year End and P11D processes
  • Manage on-going auto-enrolment of employees into the pension scheme, ensuring required communication is provided and regular monthly payments are made
  • Administer employee benefits, providing support and advice to employees
  • Produce offer letters, contracts, welcome packs, take references, create personnel files, and manage probation process to ensure effective on-boarding
  • Manage effective off-boarding to ensure clear cross-organisational communication and security of company data
  • Produce and file HR administrative letters, updates, reviews, forms and records
  • Provide basic generalist HR advice to employees and line managers as required

  • Provide payroll bureau with all data to payroll schedule, chasing colleagues for bonus, commission and variances where applicable
  • Check interim reports, highlight discrepancies to payroll bureau and annotate for presentation to the FD
  • Timely issue of P45, P60 and P11D forms
  • Ensure statutory payments are correctly processed (SSP, SMP, NI etc)
  • Produce offer letters, pension enrolment communication and welcome packs for all new starters, prior to their joining
  • Administer employee membership of benefits (including gym and healthcare)
  • Produce timely and accurate contracts of employment for new/promoted employees and obtain relevant director sign-off prior
  • Schedule pre-probation and probation meetings ensuring that all new starters receive effective and timely management of their probation
  • Ensure On-boarding tracker is current and all defined timescales are met
  • Ensure Off-boarding tracker is current and all defined timescales are met
  • Conduct time exit interviews with leavers and share appropriately
  • Take individual responsibility for agreed objectives, targets and budgets
  • Organise own time and resources effectively and use initiative

  • Deliver direct services to both candidates and suppliers to acceptable professional standards and corporate guidelines R
  • eport any complaints received to the team from candidates, suppliers or any other external or internal contacts


  • Conduct relevant employment checks for all new starters
  • Update HR database with annual leave, sickness absence and other leave, ensuring it is current and accurate
  • Update HR database with accurate personnel information - starters/leavers/changes
  • Create paper and soft-copy personnel records for all new starters
  • Scan all relevant paperwork and update on-line HR records to ensure currency and accuracy of data
  • Utilise and interrogate data to monitor progress towards individual objectives
  • Contribute to wider data collection and analysis exercises across the department
  • Complete regular data cleaning exercises
  • Ensure compliance with employment law, data protection guidelines and co policy


  • Provide advice and assistance to colleagues regarding pay queries
  • Provide HR System Access and user advice to colleagues
  • Ensure effective communication between HR and IT to ensure the safe return of all equipment from leavers
  • Inform Data Analysis team of staff changes on a weekly basis
  • Act as a source of knowledge and expertise to colleagues
  • Champion business improvement and people development initiatives
  • Collaborate with colleagues across the department and organisation
  • Proactively participate in team meetings
  • Contribute to team building initiatives and activities
